Position Summary:

Odyssey has an exciting opportunity for an experienced Acquisition Program Specialist supporting an Air Force acquisition mission at Eglin AFB, FL.

Responsibilities:

Primary:

  • Lead research, analysis, and synthesis of information on priority initiatives, producing executive‑ready communications, reports, and decision packages that enhance leadership situational awareness.
  • Provide strategic administrative support to leadership, including writing and editing correspondence, drafting memos, preparing briefings, and managing official communications on leadership’s behalf.
  • Maintain and manage leadership calendars, conference room schedules, and key program timelines, ensuring synchronized scheduling and rapid adjustment to evolving mission requirements.
  • Plan, coordinate, and execute meetings, conferences, and cross‑organizational engagements, ensuring effective collaboration with internal and external stakeholders.
  • Prepare agendas, meeting materials, and background packages; coordinate required attendees; and ensure accurate documentation and archival of attendance, minutes, and action items in accordance with organizational policies.
  • Serve as the organization’s primary travel clerk, executing Defense Travel System (DTS) actions and ensuring compliance with the Defense Travel Administrator’s Manual.
  • Monitor, consolidate, and track action items, suspenses, taskers, and issues of interest, providing leadership with mission‑aligned visibility into operational priorities.
  • Support leadership in coordinating preparations for program events, distinguished visitors, and high‑visibility engagements by providing curated background information and logistical alignment.
  • Manage scheduling, configuration, and execution requirements for video teleconferencing and virtual collaboration platforms to ensure seamless mission operations.
  • Develop, maintain, and organize official file management structures, ensuring comprehensive, accurate, and audit‑ready records in compliance with policy.
  • Support organizational workflows, policies, and operational processes through proactive coordination and continuous evaluation for efficiency and effectiveness.
  • Apply management and analytical methodologies to gather, evaluate, and interpret data that inform programmatic decisions, strategic planning, and performance optimization.
  • Assist in developing and implementing continuous process improvement initiatives that enhance mission execution across the division.
  • Support manpower and personnel management functions, including maintenance of organizational rosters, mission statements, organizational charts, office procedures, and directory information.
  • Prepare and maintain operational documentation related to facilities, supply, and emergency management activities.
  • Assist with inspection readiness and execution (e.g., Inspector General inspections), ensuring effective coordination with external agencies and higher headquarters.
  • Coordinate and process military and civilian awards and decorations in accordance with Air Force policy.
  • Provide frontline administrative interface by answering calls, screening inquiries, directing visitors, and ensuring timely responses to routine requests.
  • Perform official timekeeping duties through ATAAPS, ensuring accurate labor accounting and compliance with organizational requirements

Secondary, could evolve to: 

  • Develop and manage program plans, risk management process, and program courses of action for streamlined operations and processes.

  • Maintain conformed copies of contracts within organizational responsibility; including the preparation, maintenance, and posting of each contract, to include contract modifications, schedules, funding profiles, and Contract Line-Item Number (CLIN) indexes; monitor weapon system contractor production status; project status of deliverables; and establish and maintain database(s) to tracking incoming and outgoing prime contractual letters for either Government or weapon system contract response.
  • Support development of draft Requests for Proposal (RFPs) including systems specifications, System Requirements Documents (SRD), Statement of Objectives (SOO), Statement of Work (SOW), Contract Data Requirements Lists (CDRL)s, and other RFP products.
  • Advise and assist with development and administration of source selection simulations and cost benefit assessments to determine optimal capability and strategy to acquire intended weapon system; advise and assist with mock proposal development, conduct RFP risk assessments, prepare and coordinate responses to requests for information (RFI), and deliver training modules.
  • Assist with the planning and management of product baseline configurations to include configuration identification, configuration control, configuration status accounting, and configuration verification and auditing, IAW military and industrial guidance (i.e. MIL-HDBK-67 and the American National Standards Institute?electronic Industries Alliance standard ANSI/EIA-649).
  • Perform economic, budget, and financial analysis to included obligations and expenditure forecasting; develop funds management, funding status, automated models, and control techniques.
  • Prepare briefings and decision support information.
Qualifications:

Citizenship: Must be a US citizen

 

Minimum Required Qualifications

Clearance: Top Secret

Education and experience: Associates degree and 15 years relevant experience; OR Bachelors degree and 10 years relevant experience; OR Masters degree and 7 years relevant experience
