THE OPPORTUNITY

The Emergency Management Division is seeking an experienced Senior Administrative Assistant to provide advanced administrative and operational support to emergency preparedness, response, recovery, and mitigation programs. In this key role, you will serve as a trusted partner to division leadership, coordinating schedules, meetings, training programs, and special projects while managing complex records, reports, budgets, purchasing activities, and confidential information. You will create and maintain databases, prepare technical documents and correspondence, track program activities, and support the daily operations that help ensure organizational readiness during emergencies and disasters.

MINIMUM QUALIFICATIONS
A typical way of obtaining the knowledge, skills, and abilities outlined above is graduation from high school or G.E.D. equivalent; and four years of increasingly responsible administrative support or secretarial experience; or an equivalent combination of training and experience.
Licenses; Certificates; Special Requirements
A valid California Drivers License and continuous eligibility for coverage under the Citys vehicle insurance.
Previous experience working for a local government entity in California or in emergency management is highly desirable.
DISTINGUISHING CHARACTERISTICS
Senior Administrative Assistants support Division Manager level staff and perform a variety of difficult, specialized administrative support functions that require a thorough knowledge of the terminology, procedures and practices for their functional areas, with a significant degree of independence and accountability for results. Incumbents may also provide secretarial services to managers and/or supervisors and train and provide work guidance to other clerical employees. Senior Administrative Assistant is distinguished from Administrative Assistant in that incumbents in the former class have responsibility for greater diversity of difficult and specialized assignments and entails one or more of the following: work that requires more extensive knowledge of the departments technical functions, including terminology, policies, practices and procedures and their application in completing, monitoring and managing the units work processes; sophisticated mastery of computer software to design, set up and produce such complex documents as spreadsheets and databases involving data interpretation and manipulation; greater accountability for independently producing technical work products and results; and greater responsibility for managing resources to meet deadlines and complete assignments.

THE SELECTION PROCESS

Candidates will respond to a series of standardized questions, and their performance will be assessed using predetermined evaluation criteria to ensure a fair and consistent appraisal process.
Based on the Departments needs, the selection procedures listed above may be modified. All candidates will be notified of any changes in the selection procedure.
Eligible List: Once the appraisal is complete, HR will establish an eligible list of candidates. Candidates placed on the eligible list may be referred to a selection interview to be considered for present and future vacancies.
