The Division of Institutional Planning & Operations (IP&O) employs a workforce of approximately 2,700 staff, represented by 15 collective negotiations agreements, and is responsible for institutional strategic initiatives and operations, which encompasses an expansive range of comprehensive service and business operations across the State of New Jersey. These include planning and construction, facilities, public safety and emergency operations, environmental health and safety, transportation, housing, and auxiliary/retail operations.

Posting Summary

Rutgers, The State University of New Jersey, is seeking a Senior Administrative Assistant for the Division of Institutional Planning & Operations (IP&O. Reporting directly to the Director of Public Safety Administration, this position provides administrative support to University Public Safety.

Among the key duties of this position are the following:

  • Provides direct executive level administrative support to RUPD-Newark division's Campus Chief and Captain of University Police.
  • Under the general supervision of the Director of Public Safety Administration, this position works within established parameters to achieve efficient and effective unit administrative operations.
  • Administers programs and projects that align with the goals established by the VP of Public Safety/Chief of RUPD.
  • Always maintains confidentiality.
  • Responsible for purchasing process, coordination of special events and other related duties as assigned.

Qualifications

Minimum Education and Experience

  • Bachelor's degree or/an equivalent combination of education and experience that demonstrates knowledge and understanding of office administration, work organization, coordination, and facilitation.
  • A minimum of two years' relevant experience in an administrative function, preferably in a higher education and/or public safety setting.

Certifications/Licenses Required Knowledge, Skills, and Abilities

  • Must be proficient in Microsoft Outlook, PowerPoint, Excel, and Word.
  • Must have good written and verbal communication skills.

Preferred Qualifications

  • Experience in a public safety environment agency is preferred.
  • Master's degree in a relevant field is preferred.
