Occupational Summary

The Senior Administrative Assistant is responsible for providing clerical, administrative and project support to the Associate Dean of Student Services, the Associate Vice President for Students and other Student Services staff members. This position maintains current general knowledge of appropriate college and departmental policies, processes and procedures in an effort to ensure efficiency and integrity of the department. The Senior Administrative Assistant operates telephone systems equipment to relay incoming, outgoing and interoffice calls for the College and provides current and correct information to callers and visitors.

Essential Duties & Responsibilities

  • Provides excellent customer service and assistance to internal and external customers through walk-in, telephone and email
  • Provides a swift response rate, both in-person and by telephone; screening and directing a high volume of telephone calls; taking and relaying messages; answering questions from students, employees and the general public
  • Performs a wide variety of clerical, technical, administrative and office support duties in support of the College's Student Services department
  • Provides general clerical and administrative support to the department; composes and types correspondence; prepares a variety of reports; including technical and status reports
  • Creates and updates hardcopy and electronic records; pulls and re-files records; purges inactive records and files according to document retention policy and procedures
  • Creates requisitions for office supplies and maintains the budget binders for the department
  • Supports the AVP for Students in coordinating, organizing, and managing all aspects of graduation planning and execution
  • Processes student financial requests for tuition appeal, emergency bookstore scholarship, foundation, and finish line grant
  • Completes travel requisitions and travel reimbursements for the department
  • Researches, compiles and analyzes data and information for special projects and reports
  • Participates in appropriate committees and task forces as assigned
  • Performs other job-related duties and projects as assigned in support of the College's mission, core values and goals.

Minimum Qualifications

Associates degree from a regionally accredited institution of higher learning.

Two (2) years experience in an office environment performing administrative tasks.

Preferred:

Bachelor's degree from a regionally accredited institution of higher learning.

Knowledge, Skills and Abilities

Knowledge

  • Intermediate knowledge of clerical processes and procedures and standard office procedures; practices and equipment
  • Intermediate knowledge of business letter writing and report preparation
  • Intermediate knowledge of record control and statistical record keeping
  • Advanced knowledge of customer service principles

  • Advanced computer skills and technical proficiency in Microsoft Office applications
  • Effective verbal, listening and written communications skills
