We are seeking a highly organized and strategic Administrative Business Lead to support the CEO in managing complex business and administrative functions. This position plays a crucial role in ensuring smooth executive operations, coordinating strategic initiatives, and maintaining efficiency in the Office of the CEO.
As part of a three-person administrative team, this role serves as the most junior of the group, requiring a proactive mindset, strong problem-solving skills, and the ability to operate independently while collaborating with key stakeholders.

Key Responsibilities:
Executive Time Management Organize and prioritize schedules to ensure alignment with business priorities.
Travel & Expense Coordination Manage complex travel itineraries, anticipate conflicts, and process expenses in compliance with company policy.
Project & Task Ownership Drive key deliverables, structuring work to optimize efficiency and achieve goals.
Event Planning & Coordination Orchestrate large meetings, town halls, and executive offsites with detailed logistics management.
Technology & Process Optimization Oversee administrative technology capabilities and ensure compliance with policies and best practices.
Stakeholder & Business Engagement Serve as a liaison between executives, internal teams, and external stakeholders to support the CEO's priorities.
Adaptability & Communication Effectively adjust to changes in business priorities, ensuring seamless operational execution.
Confidential Administrative Support Manage high-level business matters with discretion and professionalism.
Basic Qualifications: Must-Have:
Minimum 7 years of experience in administrative support for senior executives.
Expertise in decision-making, prioritization, and discretion in handling confidential matters.
Excellent written and verbal communication skills, with strong active listening abilities.
Ability to operate in ambiguity and make quick decisions with limited information.
Strong understanding of business operations, strategic scheduling, and executive coordination.
Prior experience supporting C-level executives in a financial or technology firm.
Familiarity with global business coordination and executive leadership workflows.
