We are seeking an experienced
Senior Administrative Business Partner to provide strategic administrative and operational support to executive leaders within innovative Cell Therapy and Autonomous Laboratory programs. This hybrid contract opportunity is ideal for a highly organized professional who excels at executive support, cross-functional coordination, operational excellence, and stakeholder management.
In this role, you will serve as a trusted business partner, helping senior leaders stay focused on strategic priorities while ensuring day-to-day operations run smoothly. Your time will be divided equally between executive support and program coordination activities across two fast-paced organizations.
Key Responsibilities
Executive Support (Approximately 50%)
Provide comprehensive support to senior executives, enabling efficiency, productivity, and decision-making.
Key responsibilities include:
- Manage complex executive calendars, scheduling, and priority coordination across multiple time zones.
- Coordinate domestic and international travel, including detailed itineraries and real-time travel support.
- Prepare agendas, presentations, briefing materials, and follow-up actions for executive meetings.
- Screen and prioritize meeting requests while serving as a key point of contact for executive communications.
- Draft, edit, and format presentations, reports, correspondence, and other executive materials.
- Process expense reports, invoices, purchase requests, and administrative transactions.
- Handle confidential information with professionalism, discretion, and sound judgment.
Team Operations & Program Coordination (Approximately 50%)
Support operational and organizational initiatives that drive efficiency and team success.
Responsibilities include:
- Coordinate leadership meetings, team meetings, workshops, off-sites, and company events.
- Support onboarding activities, including scheduling, training coordination, resource setup, and team integration.
- Maintain shared resources, documentation repositories, collaboration sites, and distribution lists.
- Coordinate logistics for cross-functional meetings involving internal and external stakeholders.
- Partner with Finance, Human Resources, Communications, Procurement, and other business functions to support operational objectives.
- Manage vendor activities, contracts, statements of work (SOWs), purchase orders, and invoice processing.
- Support office and laboratory operational logistics, including space planning, equipment relocations, and coordination with site services.
- Identify and implement process improvements, workflow enhancements, and productivity tools, including AI-enabled solutions.
- Lead and coordinate large laboratory relocation projects exceeding 8,500 square feet, including equipment movement, vendor management, space planning, SOW administration, and stakeholder communications.
Required Qualifications
- Minimum 7 years of administrative or business support experience.
- Extensive experience supporting senior executives and leadership teams.
- Proven ability to manage multiple priorities while maintaining exceptional attention to detail.
- Experience coordinating complex calendars, travel arrangements, meetings, and events.
- Strong written and verbal communication skills.
- Demonstrated professionalism, confidentiality, and sound decision-making.
- Proficiency with Google Workspace, Microsoft Office Suite, Zoom, and related collaboration tools.
- Experience partnering with cross-functional teams in dynamic, fast-paced environments.
Preferred Qualifications
- Experience supporting senior leaders within biotechnology, healthcare, life sciences, or matrixed global organizations.
- Ability to support multiple executives with competing priorities.
- Familiarity with procurement processes, contract administration, purchase orders, and financial operations.
- Experience leveraging digital productivity platforms and AI-powered tools to improve workflow efficiency.
