Senior Associate, Fleet

Job Description:

 

We are seeking an experienced, detail-oriented, and self-motivated Fleet Associate to support and manage our fleet operations and construction equipment across Arizona and New Mexico. This role is responsible for the day-to-day oversight and lifecycle management of company-owned vehicles and construction equipment, including trucks, trailers, and self-performance tools.

The Fleet Associate will play a critical role in ensuring fleet and equipment reliability, safety, compliance, and cost efficiency. This includes coordinating maintenance and repairs, maintaining accurate records in fleet and tool management systems, supporting drivers and field teams, and partnering with vendors. The ideal candidate brings strong organizational skills, working knowledge of vehicle systems and construction equipment, and the ability to proactively manage competing priorities in a fast-paced environment. This position reports directly to the Fleet Manager.

RESPONSIBILITIES

FLEET OPERATIONS & SUPPORT

  • Manage preventative maintenance programs for AZ and NM fleet assets, ensuring adherence to manufacturer guidelines, company standards, and regulatory requirements.
  • Coordinate and schedule all vehicle and equipment maintenance, inspections, repairs, and recalls; minimize downtime through proactive planning and communication.
  • Serve as the primary point of contact for AZ and NM drivers and field teams regarding fleet-related needs, including troubleshooting issues and providing timely support.
  • Assist with Fleetio software and provide user guidance to AZ and NM vehicle drivers.
  • Provide training and ongoing support to drivers on fleet processes, software usage, and company policies.
  • Manage assignment and tracking of loaner vehicles and equipment to ensure continuity of operations during repairs or maintenance events.
  • Oversee the utilization, tracking, and condition of specialized equipment and vehicles, including dump trucks, fuel trucks, forklifts, trailers, and welding equipment.
  • Maintain accurate equipment records in ToolWatch, ensuring proper allocation, usage tracking, and job cost recovery through rental or internal chargebacks.
  • Partner with external vendors and service providers to obtain quotes, schedule services, and ensure quality and cost-effective repairs.
  • Monitor fleet performance metrics, identify trends, and recommend improvements to optimize efficiency, reduce costs, and extend asset lifespan.
  • Ensure compliance with all applicable safety standards, DOT regulations, and company policies across AZ and NM operations.
  • Assist with vehicle onboarding and offboarding processes, including inspections, documentation, and coordination of titles, registrations, and disposals.

  • Work both independently and collaboratively with team members and external vendors.
  • Deliver excellent customer service to team members and clients.
  • Normal work hours are Monday through Friday, 8:00 a.m. to 5:00 p.m. Position requires availability outside normal business hours, including evenings, weekends, and on‑call rotations, to support emergencies and critical projects.

QUALIFICATIONS

EXPERIENCE & EDUCATION

  • Bachelor's degree in Business Administration, Fleet Management, or a related field (or equivalent work experience).
  • Minimum 4 years of experience in fleet and equipment management, preferably within the construction industry.
  • Valid driver's license and clean Motor Vehicle Record.
  • Ability to travel between AZ and NM
  • Possesses a strong understanding of vehicle systems, maintenance practices, and regulatory compliance.
  • Excellent communication and interpersonal skills, with the ability to build relationships across all levels of the organization.
  • Proficient in Microsoft Office Suite and Fleetio or other fleet management software applications.
  • Strong analytical skills and data-driven decision-making capabilities.
  • Proven ability to manage multiple projects simultaneously in a fast-paced environment.
  • Bilingual English/Spanish preferred.
