    Senior Billing Specialist
     
    Summary of responsibilities
    Responsible for the accurate, timely, and compliant completion of Medicare, Medicaid, private pay, commercial insurance, and patient/client billing for Hospice and Palliative Care services. Serves as an upper-level billing resource for complex claims, payer requirements, accounts receivable monitoring, denial follow-up, billing analysis, and coordination with Finance, clinical teams, facilities, and external payers to support accurate reimbursement and revenue cycle integrity.
     
    Supervision: Reports to the Finance Director and serves as a senior billing resource within the Finance function. This position may provide technical billing guidance, workflow support, and issue resolution assistance to staff involved in documentation, claim processing, accounts receivable, and payer follow-up.
     
    Responsibilities:
               
    • Collect, review, and validate information necessary for submitting complete and accurate insurance claims, identifying missing documentation or eligibility concerns and coordinating timely resolution before claim submission.
    • Process Notice of Election forms within required regulatory timeframes, monitor submission status, and address issues that could affect timely Medicare billing or reimbursement.
    • Review and apply appropriate billing codes and payer-specific billing requirements to support accurate claim submission and reimbursement.
    • Verify Medicare, Medicaid, and private insurance eligibility.
    • Maintain complete, accurate, and audit-ready patient billing files and accounts receivable records within the Electronic Medical Records system and related billing or accounting platforms.
    • Process Medicare, Medicaid, private insurance, and patient/client claims in a timely manner; research and resolve claim rejections, denials, billing edits, and payer requests to support timely reimbursement.
    • Communicate and follow up on patient transfers from other hospices regarding billing.
    • Monitor and follow up regularly on all uncollected insurance and patient receivables, analyze aging trends, document collection activity, and escalate unresolved issues to the Finance Director as appropriate.
    • Prepare, analyze, and distribute routine and ad hoc billing, accounts receivable, denial, and reimbursement reports to support Finance leadership, revenue cycle monitoring, and audit preparation.
    • Maintain accurate Medicare and Medicaid billing analysis reports and logs within appropriate software platforms; review data for discrepancies, trends, and reimbursement risks and coordinate corrections as needed.
    • Manage patient long-term care and life insurance billing processes, including policy review, follow-up, invoice management, accounts receivable tracking, payer coordination, and secure property attachments when necessary.
    • Verify Medicaid room and board eligibility with nursing home facilities, submit eligibility and resource changes to Medicaid, monitor responses, and communicate updates to appropriate internal departments to support accurate billing and reimbursement.
    • Prepare monthly and as-needed claim status, accounts receivable, denial, reimbursement, and billing productivity reports for review by the Finance Director and other appropriate leaders.
    • Communicate with appropriate staff regarding documentation, eligibility, coding, authorization, or other information required for billing; educate staff on billing-related data needs and follow up timely to resolve incomplete or delayed documentation.
    • Create, process and follow up on invoices in accounting software for medical record release.
    • Prepare the annual Medicare CAP report and assist with the annual Medicare Cost Report, financial statement audit, payer audits, and other billing-related compliance reviews as requested.
    • Assist patients and/or patient’s family member(s) or representative(s) with the understanding of our Hospice Center room and board fees and process of financial documentation.
    • Assist with Hospice Center room and board invoices, as needed.
    • Assist patients and/or patient’s family member(s) or representative(s) with questions regarding insurance billing and/or documentation.
    • Post, allocate, and reconcile related earned income within the EMR and accounting software, researching discrepancies and coordinating corrections with Finance as needed.
    • Ensure appropriate personnel are informed of any insurance billing matters that may impact bookkeeping/accounting functions or system.
    • Respond to billing-related telephone calls and inquiries and complete administrative duties directly related to billing, accounts receivable, payer follow-up, and Finance support.
    • Maintain current knowledge of Medicare, Medicaid, commercial insurance, and other payer billing requirements; monitor changes in electronic billing systems and software procedures; and maintain organized documentation to support compliance and continuity of billing operations.
    • Maintains the confidentiality of employee, patient/client, family, financial, and agency information always.
    • Assist the Finance Director with matters related to billing operations, accounts receivable, reimbursement analysis, accounting system coordination, payer issue resolution, and revenue cycle process improvement.
    • Attend in-services, seminars and/or workshops pertaining to the job functions, as needed.
    • Attend committee meetings and external meetings related to hospice billing, reimbursement, payer relations, finance operations, or compliance, representing Compass professionally and sharing relevant updates with the Finance Director.
    Qualifications:
    • Proficiency with submitting and following up on Medicare, Medicaid, and private insurance claims.
    • Minimum of three to five years of progressively responsible billing, accounts receivable, reimbursement, revenue cycle, or healthcare finance experience required; hospice, home health, long-term care, or healthcare nonprofit experience preferred.
    • Advanced proficiency with Excel, Word, EMR systems, billing software, and accounting software required, including the ability to prepare reports, reconcile data, research discrepancies, and maintain accurate billing records across systems.
    • Experience with QuickBooks or comparable accounting software preferred; ability to post payments, reconcile earned income, research variances, and support accounts receivable reporting strongly preferred.
    • Strong organization, communication, analytical, problem-solving, and follow-through skills, with the ability to interpret payer requirements, resolve billing discrepancies, and communicate effectively with staff, patients, families, facilities, and external payers.
    • Associate degree in business, accounting, healthcare administration, or a related field preferred. Equivalent combination of education and progressively responsible billing or healthcare finance experience may be considered.
    • Ability to lift up to twenty-five pounds maximum and will occasionally lift or carry items (files, manuals, binders), bend, reach, stand, walk, sit, concentrate, and pay close attention to detail.
     
    FLSA Status: Non-exempt full-time position as classified under the Fair Labor Standards Act. Standard work schedule is Monday through Friday from 8:00 a.m. to 4:30 p.m., with a 30-minute unpaid lunch break. Additional hours may be required with prior approval based on billing deadlines, audit preparation, or other Finance department needs.
     
     
    Schedule: Regular business hours are 8:00 a.m. to 4:30 p.m., Monday through Friday. This position may occasionally require work outside regular business hours to support the finance team and/or patients with financial needs.
     
    Work location: This is not a remote position. It requires regular on-site presence to meet business needs, support team collaboration, attend required meetings, and participate in events or activities that cannot be completed remotely.
