The Role

Senior Construction Coordinator

We’re looking for a Senior Construction Coordinator to support our construction team and keep projects moving. This role acts as a key point of coordination across project teams, accounting, and leadership. You’ll own documentation, support project execution, and step in as a resource for other coordinators.

 

What you’ll do:

  • Serve as a go-to resource across construction projects, providing guidance and backup support as needed

  • Maintain project documentation including contracts, permits, insurance certificates, warranties, and closeout records

  • Ensure all project documentation is accurate, complete, and compliant with company policies and regulatory requirements

  • Prepare and manage correspondence, reports, bid packages, meeting materials, and project documentation

  • Review invoices and pay applications for accuracy against budgets and contracts; process payments in I-BEAM

  • Act as a liaison between vendors, subcontractors, accounting, insurance providers, and internal teams

  • Verify insurance and sales tax requirements for subcontractors and vendors

  • Support project setup, including budgets, cost codes, and reallocations as needed

  • Coordinate project meetings, schedules, and communication across teams

  • Track subcontractor and vendor activity to ensure alignment with project timelines and requirements

  • Support project closeout processes, including final documentation and records

  • Assist with setup of on-site construction offices when needed

  • Participate in system pilots and process improvements

 

What we’re looking for:

  • High school diploma required; Bachelor’s degree preferred

  • 4–5 years of administrative or project coordination experience (construction preferred)

  • Strong organization skills with the ability to manage multiple priorities

  • Clear communicator who can work across teams and functions

  • Detail-oriented with strong follow-through

  • Comfortable with systems, data, and basic financial tracking
