Position Information

Hiring Department: Aerospace & Mechanical Engineering

Reports To: Manager

Job Location: On-site; El Paso, TX

Hours: 40 hours per week, standard Monday- Friday 8:00am- 5:00pm, flexibility is required on evenings and weekends

FLSA status: Exempt

Earliest Start Date: As soon as possible.

Salary: $46,550 annually

Position Summary

Under limited supervision and with considerable latitude for the use of initiative and independent judgment, coordinates and directly supports the academic and business process functions of the Aerospace and Mechanical Engineering Department, which provides various financial, analytical, and business process transactional services to faculty and staff within area of assigned responsibility.

Statement of Duties and Responsibilities:

Coordinate and Process Financial, Procurement, Travel, and Budget Functions (60%)

  • Responsible for processing payments, reimbursements, travel, POs, and SNOAs; investigates vendor and purchasing issues and provides onboarding support.
  • Tracks expenses, reconciles departmental cost centers, faculty start-ups, and grant activities; resolves discrepancies and follows up on transactions to ensure timely processing.
  • Reviews award expenditures with the Principal Investigator (PI) as needed.
  • Organizes budget requests, monitors budget expenditures, and makes adjustments as necessary.
  • Assists with Procurement Card (Pro Card) reconciliation, verifies receipts, reconciles transactions in PeopleSoft, and updates transaction logs.

Coordinate Departmental Operations, Recruitment, Onboarding, and Events (25%)

  • Processes e-form documents and utilizes PeopleSoft to support departmental operations and onboarding activities.
  • Coordinates recruitment and hiring efforts for faculty, creates employment requisitions, and assists with onboarding.
  • Assists with the coordination and management of event logistics.
  • Participates in outreach and retention activities to promote AME program opportunities to students and the community.

Maintain Records, Compliance, Policies, and Customer Service Support (15%)

  • Identifies and resolves issues, concerns, discrepancies, problems, and inconsistencies.
  • Coordinates implementation of techniques for evaluating business functions and departmental activities.
  • Coordinates, monitors, and evaluates policies and procedures and ensures compliance.
  • Provides front desk support by greeting visitors, answering phones, handling inquiries, and assisting students, faculty, and staff.
  • Maintains knowledge of Microsoft Office and institutional software systems.
  • Complies with all State and University policies.
  • Other duties as assigned.

Supervisory Responsibilities: Carries out supervisory responsibilities in accordance with the organizations policies and applicable laws.

Education: Bachelor's Degree

and

Experience: Three years of related experience; or equivalent combination of education and experience.
