The Senior Director of Facilities is responsible for oversight in all aspects of facility expansion projects in multiple US cities as well as oversight of current leased space, building relationships, equipment upkeep, fixed-asset management, procurement and all other aspects in ensuring our facilities are operational, safe, professional and embody the tenants of Witherite Law Group.
Key Responsibilities:
Oversee all facility expansion, relocation, and office launch projects, including site selection support, space planning, construction coordination, furniture installation, technology readiness, and occupancy transition.
Lead capacity planning and workplace strategy across all locations, including occupancy forecasting, seating plans, hybrid work arrangements, and expansion recommendations to support organizational growth.
Lead and manage the multi-city team to ensure proper task management, projects, scheduling, inventory, and safety.
Maintains the operations of multiple facilities and offices in multiple cities, including 100 - 250K (eventual) square feet of occupancy.
Directs and oversees all office-related activities including building relationships, vendor accountability, furniture and fixture accountability, capital budgets, relocations, maintenance, and internal remodeling.
Systematically and efficiently coordinate office furniture purchases according to policy and budget. Forecasts needs based on company growth.
Maintain and improve Asset and Inventory Management processes; oversees company use of WASP for accountability and inventory.
Manages Building and tenant relationships. Reviews and analyzes leases for compliance and works with accounting to ensure annual agreements are met.
Develop and maintain a Quality Assurance Program - For facility appearance, cleanliness, and maintenance
Develop, oversee, and evaluate systems for all aspects of operation, repair, and maintenance of the existing facilities
Oversee Facility and Office Services teams who subsequently manage city most aspects of city offices including janitorial services, support contracts and all aspects of facilities upkeep
Respond immediately to emergencies and perform tasks necessary for the well-being and protection of property and occupants
Develop short- and long-range plans and program objectives, an annual budget, and a capital improvement budget for future repairs and improvements to the facility.
Function in an interactive and cross-functional relationship with all other departments, Executive Team and Company Ownership
Qualifications:
Must have a minimum of 5 years of prior experience in facilities management including expansion and growth projects.
Proficiency in Procurement Management and Asset Management software.
Detailed oriented
Strong problem-solving abilities
Physical Requirements:
Office environment with normal business hours necessary to satisfactorily perform job functions.
Stationary Position - Must be able to remain in a stationary position up to 50% of the time.
Move or Traverse - This position needs to occasionally move about inside the office to access file cabinets, meeting rooms, office machinery, etc. May occasionally ascends/descends the stairs to get to other floors, cafeteria and parking area.
Dexterity - constantly operates a computer and other office machinery such as a copy machine/printer.
Move, Transport, Position, Put, Install, Remove - Occasionally moves supplies weighing up to 10 pounds for various presentation and event needs.
Communicate, Detect, Converse with, Discern, Convey, Express oneself, Exchange information - The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
Detect, Determine, Perceive, Identify, Recognize, Judge, Observe, Inspect, Estimate, Assess - The ability to observe details at close range (within a few feet of the observer).
