POSITION DESCRIPTION

Color Of Change is seeking a Senior Executive Assistant to the Chief Operating Officer to run the operating rhythm of the COO’s office and carry a defined share of its external work. The Senior Executivel Assistant reports to the COO.

The COO leads Development, External Affairs, Operations, Finance, People and Culture, and Research and Data Analytics, and much of that work now faces outward: partners, coalitions, funder meetings alongside Development, the board, and the convenings where Color Of Change shows up. The Senior Executive Assistant prepares the COO for every external room and makes sure that what gets promised there gets done. This is a high-trust, hybrid role based in Atlanta, with travel up to 25 percent of working time.

RESPONSIBILITIES


Office Management & Executive Support

  • Manage the COO’s calendar, meetings, and files so the COO’s time goes to the highest priorities
  • Track and reconcile expenses, timesheets, and departmental invoices with Finance
  • Prepare updates and reports for board and working group meetings

External Affairs & Relationship Support

  • Keep a current record of the external relationships the COO holds, with last contact and next step
  • Brief the COO before every external meeting, staff the COO in the room when needed, and send follow-up within two business days
  • Screen invitations and speaking requests, and coordinate with External Affairs, Development, and Communications and Marketing 

Travel & Logistics

  • Travel with the COO and independently to convenings, partner and funder meetings, board meetings, and organizational events, as needed
  • Manage logistics, materials, and changes on the road, and cover local travel across metro Atlanta

Projects & Correspondence

  • Lead administrative projects for the COO’s office and report status on a set rhythm
  • Gather data from other teams and draft correspondence and presentation decks on the COO’s behalf

Decision Rights

  • Decide how the COO’s calendar, travel, and event logistics run within the priorities and budget the COO sets
  • Recommend which invitations to accept and how to settle competing requests, for the COO to decide
  • Leave funder relationships with Development and partner relationships with External Affairs, and commit no money or organizational positions

QUALIFICATIONS

  • 5 to 7 years supporting a senior leader or executive office, including staffing an executive in external meetings and events, with nonprofit or movement experience preferred.
  • Experience with external relationships, such as partner coordination, convening or event management, or community or government relations.
  • Strong writing for correspondence, briefs, and decks, and advanced skill in Google Workspace and Microsoft Office.
  • Proficiency in current LLM’s and other software applications as they relate to this role e.g. Monday.com, Slack, Gemini and email management tools. 
  • Sound judgment, steadiness when plans change, and complete discretion with confidential information.
  • Alignment with Color Of Change’s mission and a strong commitment to racial justice.

In this role, the Senior Executive Assistant makes sure the COO walks into every room prepared and that what gets promised there gets done.

Reports to: Chief Operating Officer

Collaborates closely with: President’s Office; External Affairs; Development; Communications and Marketing; Finance; Director, People and Culture; board members

MORE INFORMATION

Location: Atlanta, GA. Hybrid, working from our Atlanta co-working space one to two days a week and remotely the rest of the week.

Travel: Travel is required. The Senior Executive Assistant travels with the COO and independently, up to 25 percent of working time, for convenings, board meetings, and organizational events, including some overnight travel.

Employment Status: Exempt, Full-Time

Classification: Non-Bargaining Unit

Work Schedule: Monday through Friday, core business hours, with flexibility for travel, events, and board meetings

COMPENSATION & BENEFITS

Compensation for this role is an $95,000 to $105,000 base salary, commensurate with experience. WORKING ENVIRONMENT

Color Of Change operates in a remote environment with team members across the United States. You will collaborate regularly with colleagues via video, email, and chat and engage frequently in cross-functional coordination. This role requires working core hours Monday through Friday on a laptop for most of the workday, with additional time as needed to support communications execution and organizational priorities. Occasional travel may be required for events, activations, team convenings, or strategic planning.
