    Description

    Osprey Talent Solutions is supporting a growing defense and national security organization seeking an experienced Senior Executive Secretary in Arlington, Virginia. This is an on-site role, Pentagon adjacent.

    This individual will provide executive-level administrative and clerical support within a Department of Defense environment. The position requires excellent judgment, attention to detail, discretion, and the ability to manage competing priorities while supporting senior leaders and coordinating across the organization.

    The successful candidate must have experience with the Defense Travel System and at least one Department of War task-management system, including ETMS2, TMT, or CATMS.

    Essential Duties and Responsibilities:

    • Provide executive-level administrative support, including conducting research, preparing statistical reports, managing taskers, and responding to information requests.
    • Prepare correspondence, reports, memorandums, presentations, and emails for distribution throughout the organization.
    • Track, coordinate, and manage executive-level taskers using ETMS2, TMT, CATMS, or a comparable task-management platform.
    • Assist with official travel arrangements and travel vouchers using the Defense Travel System.
    • Arrange conference calls, video conferences, and in-person meetings.
    • Maintain executive calendars, schedules, and itineraries.
    • Coordinate meeting logistics and ensure senior leaders are prepared with the necessary materials and information.
    • Handle sensitive and confidential information with appropriate discretion.
    • Communicate professionally with senior military, civilian, and government personnel.
    • Perform additional executive administrative duties as assigned.

    Required Knowledge and Skills:

    • Strong working knowledge of Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams.
    • Experience with the Defense Travel System.
    • Experience with at least one of the following task-management systems:
      • ETMS2
      • TMT
      • CATMS
    • Proficiency with video-conferencing platforms and technologies, including Video Teleconferencing, Webex, Zoom, and Microsoft Teams.
    • Ability to prepare clear, accurate, and professional correspondence and reports.
    • Ability to interpret instructions presented in written, verbal, diagram, or schedule format.
    • Familiarity with military customs and courtesies.
    • Understanding of Department of Defense processes and organizational environments.
    • Strong organizational, communication, time-management, and problem-solving skills.
    • Ability to work independently, anticipate leadership needs, and manage multiple priorities.
    • Professional demeanor and sound judgment when handling sensitive matters.

    Education and Experience:

    • Bachelor's degree required.
    • At least 10 years of experience providing executive-level administrative support.
    • Prior experience supporting senior military, civilian, government, or corporate executives is strongly preferred.

    Security Clearance:

    Candidates must possess a current, active Secret security clearance. Applicants without an active clearance cannot be considered for this position.

    Interview Process:

    Candidates should be prepared to complete a Microsoft Office skills assessment during the interview process.
