Position Overview

We are seeking a Senior Facilities Coordinator to oversee the daily operations of a professional office and laboratory facility. This role is responsible for coordinating building maintenance, vendor management, preventive maintenance programs, and ensuring all facility systems operate safely and efficiently.

This is an excellent opportunity for someone with experience managing commercial facilities, building systems, and outside contractors who enjoys owning day-to-day facility operations.

Responsibilities

  • Coordinate daily operations of the facility to ensure a safe, clean, and efficient workplace.
  • Oversee preventive maintenance programs and track work orders through a CMMS system.
  • Coordinate and manage third-party vendors for HVAC, electrical, plumbing, fire protection, security, janitorial, and other building services.
  • Monitor and support commercial building systems, including HVAC, plumbing, electrical, life safety, and building automation systems (BAS).
  • Perform routine facility inspections and identify maintenance or safety concerns.
  • Partner with internal departments including HR, IT, Security, and Operations to support facility needs.
  • Coordinate office moves, workspace changes, and small facility improvement projects.
  • Maintain accurate maintenance records, vendor documentation, and compliance reports.
  • Ensure compliance with OSHA, ADA, and general building safety requirements.
  • Assist with budgeting, asset tracking, and facility planning initiatives.

Qualifications

  • 5+ years of facilities, building maintenance, or commercial property management experience.
  • Experience coordinating vendors and service contractors.
  • Knowledge of commercial HVAC, plumbing, electrical, and building systems.
  • Experience using CMMS or work order management software.
  • Strong organizational, communication, and problem-solving skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficiency with Microsoft Office; experience with Teams or SharePoint is a plus.
