Job Overview
 
The primary role of the Senior Human Resources (“HR”) Coordinator is to partner with the corporate HR team and business leaders of shared service teams. This role effectively manages payroll and HRIS data integrity, reporting, associate engagement, performance management, and HR projects, while ensuring compliance and supporting our culture of continuous improvement. This is a hands-on role where you’ll collaborate across multiple teams, drive HR processes, and help shape a positive workplace experience. The Senior HR Coordinator should demonstrate a passion for people and dedication to supporting teams in an evolving shared service model. The Senior HR Coordinator reports directly to the Director of Human Resources.
 
 
Essential Duties:
 
  • Serve as the corporate HR contact for shared service associates, responding to inquiries, finding solutions, partnering with local Human Resources partners, and escalating as needed.
  • Follow the established Responsibility Matrix for HR partners across the organization, continuously providing feedback on its effectiveness and ways to improve HR operations.
 
HR operations and compliance
  • Work in partnership with local HR teams to ensure that payroll items, such as timekeeping, timecard exceptions, paid time off, and additional earnings requests for shared service associates are run timely and without error for the shared service pay group.
    • Address and resolve timecard exceptions prior to payroll close in collaboration with all stakeholders
    • Review, verify, and resolve payroll anomalies prior to payroll close
    • Submit off cycle compensation changes with the approval of Executive Leadership, including calculating retroactive payment details
    • Ensure that unique payroll submittals are completed by deadlines, including bonuses, commission, and EPIP items
    • Research, resolve, and/or escalate any payroll issues that emerge post pay date
  • Manage associate data in the HRIS to uphold accurate department, billing, and reporting structure coding. Perform audit on a regular basis to ensure accuracy.
  • Review and approve any submitted reporting structure, compensation, and coding changes in HRIS in partnership with shared services leadership.
  • Maintain electronic associate files which may include new hire paperwork, I-9, unemployment claims, and confidential records in accordance with company, state, and federal laws.
  • Support leave of absences for shared service associates and coordinate with local HR partners on state specific leave laws.
  • Review and action E-Verify open items for shared service associates and coordinate necessary support with local HR partners.
  • Oversee benefits open enrollment for shared services associates.
  • Create and manage data analytics reporting and tracking metrics to support HR initiatives and decision-making.
  • Stay current on legal requirements and government reporting regulations affecting HR functions.
  • Ensure compliance with HR-related federal, state, and local regulations (e.g., Workers’ Compensation, FMLA, FLSA, EEO, FCRA).
 
Performance management, training, and associate relations
  • Provide guidance on associate relations, including counseling, policy interpretation, and investigations in partnership with shared service HR leadership and local HR partners.
  • Support shared service leaders with annual and mid-year performance reviews including progress reporting and troubleshooting
  • Coordinate and support training and development programs delivered to shared service associates.
  • Where applicable, assist local HR in preparing voluntary and involuntary separation files and final pay, ensuring that company protocols are followed.
 
Associate engagement, culture, and HR projects
  • Assist in development and management of shared services associate recognition, milestone, and engagement programs, where applicable and in partnership with local HR partners.
  • Assist with annual Associate Experience survey, including hierarchy review, scheduling and executing of listening sessions to address associate feedback, and action planning initiatives.
  • Create and distribute HR communications.
  • Assist in documenting procedures and creating materials to support HR activities.
  • Support company-wide HR related projects and align with company initiatives, such as associate handbook, intranet page, process standardization, and recognition programs.
 
Recruiting and onboarding
  • Maintain and update job descriptions for shared service teams.
  • Provide backup support with shared service job requisitions, following the SOP directions.
  • Support recruiting and onboarding needs, in partnership with local HR partners, for shared service teams
  • Conduct internal and external salary benchmarking for shared service teams under the guidance of the Director of Compensation.
Perform additional duties as assigned to support the HR team and business needs. 
 
 
Skills & Qualifications
  • Must possess bachelor’s degree (B.A. or B.S) in HR Management or related field; or equivalent industry experience.
  • 2+ years of general and progressive HR experience, including all aspects of HR
  • Proficient in Microsoft Office Suite, HRIS software, and internet/AI research; ADP experience preferred. 
  • Collaborative team player able to build effective relationships across regional and remote teams.
  • Commitment to continuous learning and professional growth.
  • Solid understanding of state, local, and federal employment laws.
  • Ability to exercise sound judgment and handle sensitive and/or confidential information with discretion.
  • Strong administrative, analytical, attention to detail, and reporting skills.
