What You'll Do
As the Senior Manager of Administration, you'll play a critical leadership role in driving the day-to-day operations of a dynamic Dallas office. Reporting to the Senior Director of Administration, you'll oversee administrative functions, lead a team of supervisors, and ensure seamless service delivery across departments. This role blends operational excellence, people leadership, and strategic planning-partnering closely with internal stakeholders to anticipate needs, optimize resources, and support a fast-paced, client-focused environment.
- Operational Leadership: Oversee all office operations-including facilities, guest services, conference services, digital services, and mailroom-to ensure efficiency, consistency, and a best-in-class experience.
- Facilities & Vendor Management: Partner with building management and external vendors to maintain a high-quality workspace, manage maintenance and security needs, and negotiate service agreements.
- Digital & Mail Services Oversight: Ensure the effective operation, maintenance, and vendor performance of office technology, reprographics, and mailroom systems.
- Conference & Guest Experience: Lead conference services and reception teams to deliver seamless, high-quality experiences for internal and external meetings.
- Food Service & Catering Strategy: Manage catering operations and vendor relationships, review budgets and invoices, and ensure quality, variety, and cost-effective service delivery.
- Stakeholder Engagement: Collaborate with senior leaders, including Operations Committee members, to communicate updates, drive initiatives, and align on office strategy.
- Financial Management: Develop and manage budgets, staffing plans, and expenses to ensure operational efficiency and alignment with organizational goals.
- Space Planning & Optimization: Lead office space planning, moves, and construction projects in partnership with real estate and functional teams to support business needs.
- Team Leadership & Development: Coach and mentor managers and supervisors, foster a collaborative environment, and support employee relations in partnership with Human Resources (HR).
- Strategic Initiatives: Identify opportunities for process improvement, lead special projects, and implement solutions that enhance operational performance and client service.
What You'll Bring
- Education: Bachelor's degree required.
- Experience: 8+ years of experience in office or administrative management, including team leadership; experience in a law firm or professional services environment preferred.
- Leadership & Collaboration: Proven ability to lead teams, build strong relationships, and influence stakeholders across functions.
- Operational & Financial Acumen: Strong understanding of budgeting, vendor management, and facilities operations, with a focus on efficiency and cost management.
- Communication Skills: Excellent verbal and written communication skills, with the ability to engage diverse audiences and simplify complex information.
- Problem-Solving & Judgment: Strong critical thinking skills with the ability to navigate challenges, prioritize effectively, and make sound decisions in a fast-paced environment.
- Client Focus: Commitment to delivering exceptional service and anticipating the needs of attorneys, clients, and colleagues.
- Technical Proficiency: Proficiency in Microsoft Office Suite (Word, Outlook, PowerPoint, Excel) and familiarity with document management and office systems.
- Adaptability & Drive: Comfortable managing multiple priorities, working under pressure, and supporting business needs, including occasional after-hours availability.
