Job Details
We are seeking a Senior Microsoft 365 Messaging & Governance Engineer to help design, develop, and mature the governance framework across our Microsoft 365 messaging and collaboration environment.
This role will sit closely within the messaging and collaboration space, with a primary focus on Exchange Online and Microsoft Teams, while partnering with teams supporting SharePoint and OneDrive.
We are looking for someone who combines strong Microsoft 365 engineering knowledge with the ability to help architect governance standards from the ground up. You should understand the underlying messaging and collaboration infrastructure well enough to determine how governance policies should be designed, implemented, automated, and enforced.
You will work closely with GRC, cybersecurity, technology teams, and business units to establish practical standards around lifecycle management, retention, data protection, external sharing, access, and policy enforcement.
What You’ll Do
M365 Governance & Architecture
Design, implement, and continuously improve governance policies for Exchange Online and Microsoft Teams
Establish standards around naming conventions, provisioning, ownership, archival, and deletion
Develop lifecycle management processes for mailboxes, distribution lists, Microsoft 365 Groups, and Teams
Configure and maintain retention policies, sensitivity labels, and Data Loss Prevention rules within Microsoft Purview
Develop governance standards around external sharing, guest access, permissions, and data exposure
Partner with cybersecurity, risk, and compliance teams to translate organizational requirements into scalable technical controls
Conduct periodic access reviews and governance assessments to identify policy drift and areas of risk
Help establish formal governance processes in areas where standards may still be evolving
Automation & Reporting
Develop automation using PowerShell, Microsoft Graph API, and Power Automate
Automate governance processes including orphaned resource cleanup, ownership certification, lifecycle management, and policy enforcement
Build dashboards and reporting using Power BI, Purview, and native Microsoft 365 reporting tools
Monitor compliance posture, governance adherence, license utilization, and platform usage
Evaluate new Microsoft 365 governance, security, and compliance features before broader implementation
Messaging & Collaboration Engineering
Administer and engineer Exchange Online environments
Support mail flow rules, connectors, shared mailboxes, distribution lists, and anti-spam and anti-phishing controls
Support Microsoft Teams architecture including meeting policies, channel structure, application management, and related platform configuration
Troubleshoot complex platform and messaging issues
Monitor service health and assist with capacity and licensing planning
Partner with Microsoft support and internal technical teams as needed
Business & Stakeholder Partnership
Partner directly with business units to understand collaboration requirements and develop scalable governance solutions
Translate technical and governance requirements into clear guidance for technical and non-technical stakeholders
Balance security and compliance requirements with usability and business productivity
Help drive adoption of governance standards across different teams and business groups
Develop governance documentation, technical standards, runbooks, and training materials
Serve as an escalation point for governance-related issues including oversharing, policy violations, and permissions concerns
What We’re Looking For
7+ years of experience within Microsoft 365 messaging, collaboration, governance, administration, or engineering
Strong hands-on experience with Exchange Online and/or Microsoft Teams
Experience designing, developing, or significantly improving Microsoft 365 governance standards
Strong experience with Microsoft Purview, including retention, DLP, and sensitivity labels
Experience with lifecycle management, ownership models, access controls, naming standards, and sharing governance
Strong PowerShell experience within Microsoft 365
Familiarity with Microsoft Graph API for automation and reporting
Strong understanding of Exchange Online mail flow and Microsoft Teams architecture
Familiarity with compliance frameworks such as GDPR, HIPAA, SOC 2, ISO 27001, and NIST
Experience with Microsoft 365 licensing and optimization
Strong analytical and documentation skills
Ability to communicate technical concepts clearly to business stakeholders
Comfortable working across technical teams, security, compliance, and business groups
Preferred Qualifications
Microsoft certifications such as SC-400, MS-102, or MS-700
Background supporting IT compliance, risk management, or audit initiatives
Experience supporting Microsoft 365 Copilot data readiness
Experience with Power Automate and Power BI
Exposure to ITIL or formal change management practices
Familiarity with Teams Phone or voice engineering
Experience supporting messaging or collaboration migrations
