SCOPE OF POSITION: The Senior Office Administrator provides support to the Fiscal and Reception Services Manager through complex accounting functions, internal audits, collections, reporting, and administrative support for the Rockingham County Rehabilitation and Nursing Center and Ernest P. Barka Assisted Living Community. This position also coordinates the Medicaid application and eligibility process, providing guidance and support to residents, families, and other responsible parties throughout all stages of the Medicaid process.

The Senior Office Administrator plays a key role in supporting the daily operations of Fiscal Services through a combination of accounting, administrative, reporting, and resident financial support functions. Responsibilities include preparing journal entries, reconciling accounts and expenditures, managing Resident Fund Account transactions, assisting with collections efforts, generating reports, maintaining records for regulatory compliance, processing mail, and supporting budget and audit activities. This position also serves as a primary resource for residents, families, and other responsible parties navigating the New Hampshire Medicaid process. The Senior Office Administrator assists with applications, documentation collection, eligibility tracking, redeterminations, appeals, and ongoing communication with the Division of Health and Human Services and other outside agencies. Working closely with Admissions, Fiscal Services, residents, families, attorneys, insurance companies, and state agencies, this position helps ensure residents receive timely financial assistance while maintaining accurate records and confidentiality. The Senior Office Administrator supports departmental operations, assists with resident financial services, and provides leadership and oversight to Fiscal Services support staff in the absence of the Fiscal and Reception Services Manager. Must be able to work hours as scheduled based on the requirements of the position and department.

REQUIRED EDUCATION AND EXPERIENCE

  • Bachelor's degree in business or a related field from an accredited college or technical school preferred; and
  • Five (5) years of related experience; and
  • One (1) to three (3) years of experience in the Long Term Care Medicaid application process preferred; and
  • Two (2) years demonstrated supervisory experience; or
  • An equivalent combination of education, work, and experience will be considered.
