Salary: $22.25/Hour

Minimum Bargaining Unit: Teamsters Contract

Report Times: 8:00am - 4:30pm

Daily Hours: 8.5 (7.5 Paid)

Work Year: 12 Months

Civil Service Title: Senior Office Clerk I (Competitive - NY HELPS)

Minimum Requirements: Graduation from high school or possession of an equivalency diploma, plus EITHER: (A) Graduation with an Associate's degree or successful completion of at least sixty (60) credit hours from a college or university, plus three (3) years paid full-time or its part-time equivalent office clerical or secretarial experience*; OR (B) Five (5) years paid full-time or its part-time equivalent office clerical or secretarial experience*; OR, (C) An equivalent combination of education and experience as defined by the limits of (A) and (B) above. *Experience as a Teller, Cashier or Sales Clerk will not be considered appropriate experience for the purposes of these minimum qualifications. NOTE: Your degree must have been awarded by a college or university accredited by a regional, national, or specialized agency recognized as an accrediting agency by the U.S. Department of Education/U.S Secretary of Education. If your degree was awarded by an educational institution outside the United States and its territories, you must provide independent verification of equivalency. SPECIAL REQUIREMENT: If you are appointed, you will be required to possess a valid license to operate a motor vehicle in New York State or otherwise demonstrate your capacity to meet the transportation needs of the position. This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). HELPS Program titles may be filled via a non-competitive appointment. This means that you do not need to take an exam to qualify, but you do need to meet the minimum qualifications of the title. At a future date (within one year of permanent appointment), employees hired under NY HELPS are expected to have their permanent non-competitive employment status converted to permanent competitive status. You will not have to take an exam to gain permanent competitive status.

Desired Qualifications:

  • Strong computer knowledge and experience with Microsoft Office, Google Suite, Infinite Campus and Frontline IEP;
  • Familiarity with Infinite Campus or other school reporting systems;
  • Strong interpersonal skills and organizational skills;
  • Provide customer service to staff and families via email, phone and in-person;
  • Ability to interact effectively and professionally with others;
  • Clerical aptitude, accuracy, neatness, and follow through;
  • Ability to maintain confidentiality and prioritize tasks;
  • Demonstrate initiative in problem-solving;
  • Ability to comply with mandated procedures and timelines;
  • Complete all work with a high degree of quality and efficiency;
  • Demonstrated ability to work with minimal supervision in a fast-paced environment;
  • Ability to efficiently perform day to day office duties including typing, copying, scanning and proofreading documents, agendas and correspondence, organizing files, and scheduling meeting locations.

Position Summary/Responsibilities:

  • Provide excellent customer service, including listening and a calm and patient approach to problem-solving;
  • Manage and coordinate calendars, mileage, meetings and professional learning for 8 Assistant Directors of PPS;
  • Manage and maintain districtwide PPS enrollment data within the department and across schoolwide systems;
  • Schedule observations and evaluation meetings for PPS administrators;
  • Serve as a backup for DO PPS clerical personnel;
  • Manage all K-12+ special education translations of mandated Part 200 special education documentation;
  • CSE/Frontline IEP Responsibilities:
    • Clerical Support for Transition Programming(Alcott & MCC)
    • Coordinate preschool visits (2 per CPSE per incoming K student) with outside agencies and organizations;
    • Schedule CPSE-CSE reevaluation transition meetings;
    • Serves as a PPS liaison between schools and District Office;
    • Prepares and fulfills mandated tasks to remain in compliance with NYSED and Part 200;
    • Coordinate and facilitate Superintendent Hearing procedures with the Office of Student Services;
    • Schedule, prepare, process all documentation for AD facilitated CSE meetings including amendments;
    • Serve as a backup/substitute for schools without CSE clerical coverage;
    • Maintain/update student records, IEP & 504 Access Logs and Google Drive student/district data;
    • Other duties and responsibilities as assigned.
