This position reports directly to the COO, with visibility to the CEO on operational performance and strategic decisions. It is designed for someone who wants to build systems that shape the company's growth trajectory, not administer a process designed by someone else.
This role requires demonstrated experience in both of the following areas:
You have personally built an automated workflow using tools such as Make, Zapier, n8n, or the GPT or Claude API. General familiarity with AI tools is not sufficient; direct, hands-on development experience is required.
You have owned throughput, capacity planning, or cost-per-unit economics for a service delivery team, and can speak to the specific metrics, team size, and outcomes you were accountable for.
What You'll Own
Weekly Operating Cadence
Lead the weekly operating rhythm for delivery performance, including visibility into volume, capacity, deadlines, quality, and risk. Drive accountability through structured tracking and follow-up.
Operational Efficiency and Scalability
Identify bottlenecks, redesign workflows, and standardize processes into documentation that supports continued growth.
Capacity Planning and Forecasting
Build and maintain staffing and capacity models tied to volume, throughput, and deadlines. Provide clear recommendations on resourcing and workload balance.
Cost and Margin Awareness
Partner with Finance to understand unit economics and protect margin as volume increases. Improve productivity and reduce cost per case without compromising quality.
Automation and Tooling
Design and improve automated workflows using AI tools to reduce manual effort and increase throughput.
Example Project
A government client requires 500 background checks completed within 30 days. In this scenario, you would:
Assess current capacity and forecast throughput against the deadline
Build a staffing and workload plan, including contingency planning
Establish a weekly dashboard tracking progress, risk, and quality metrics
Identify and resolve bottlenecks to maintain schedule and budget
Apply automation where appropriate to reduce manual workload

You're a Strong Fit If You Have
5 or more years
owning throughput, staffing, or delivery performance in a service-based, high-volume, or fast-growth environment**, regardless of job title**
Direct, hands-on experience building automated workflows with tools such as Make, Zapier, n8n, or GPT and Claude APIs
Demonstrated ownership of throughput, capacity planning, or cost-per-unit metrics for a service delivery team
A track record of improving operational efficiency without proportional increases in headcount
Strong documentation practices, including SOPs, process maps, and clear written communication
Comfort operating in an environment with shifting priorities and time-sensitive client demands
Experience operating in high-stakes, zero-defect, or crisis-response environments where accuracy and speed both matter
Preferred, Not Required
Experience in
trust and safety, fraud operations, content moderation, government contracting, defense, compliance, or another highly regulated or high-trust environment
Background screening, investigations**, law enforcement, or military operations** experience
Military logistics or personnel deployment experience

Base salary: $75,000 to $95,000, depending on experience
