    Position Overview:

    The Senior Parts Specialist is responsible for supporting the daily operations of the Parts Department through advanced customer service, parts support, shipping and receiving coordination, and operational assistance. This role serves as the department''s senior technical resource, providing advanced product knowledge, supporting complex parts requests, and helping maintain efficient daily operations.

    Working closely with the Parts Manager and Assistant Parts Manager, the Senior Parts Specialist assists with employee training, reporting, order fulfillment, and workflow coordination while providing operational support to maintain productivity and continuity across the department.

    Key Responsibilities:

    Customer Service & Parts Support

    • Respond to customer inquiries and internal parts requests in a professional, accurate, and timely manner.
    • Assist customers, technicians, and internal departments in identifying and locating the correct parts.
    • Support complex parts identification and research requests utilizing manufacturer catalogs, vendor resources, and internal systems.
    • Resolve routine order and shipping inquiries while referring escalated customer concerns to the Assistant Parts Manager or Parts Manager, as appropriate.
    • Provide product knowledge and technical parts information to support customer and operational needs.

    Shipping, Receiving & Order Fulfillment

    • Assist with daily shipping and receiving activities to ensure timely and accurate processing of inbound and outbound shipments.
    • Investigate and resolve shipping and receiving discrepancies.
    • Coordinate outbound shipping volume to meet customer delivery expectations.
    • Sort, stage, and prepare customer orders for shipment or pickup.
    • Verify shipment accuracy and maintain appropriate shipping documentation.

    Operational Support

    • Generate reports related to departmental performance, shipping activity, and operational metrics.
    • Assist with training team members on department procedures, systems, and best practices.
    • Provide coverage for department personnel during planned and unplanned absences to maintain operational continuity.
    • Collaborate with internal departments to ensure accurate and timely fulfillment of customer requirements.
    • Support continuous improvement initiatives to enhance departmental efficiency and customer service.
    • Perform additional duties and special projects as assigned.

    Compliance & Safety

    • Follow all company policies, procedures, and workplace safety requirements.
    • Maintain compliance with applicable OSHA, EPA, DOT, and company standards.
    • Help maintain a clean, organized, and safe warehouse environment.
    • Promote safe work practices and proper handling of inventory and materials.

    Qualifications:

    • High School Diploma or equivalent required.
    • Previous experience in parts sales, parts operations, warehouse operations, inventory control, or customer service preferred.
    • Experience within the transportation, heavy-duty truck, motorcoach, automotive, or commercial vehicle industry preferred.
    • Experience with shipping, receiving, inventory management, and order fulfillment processes.
    • Strong knowledge of commercial vehicle parts identification and manufacturer catalogs preferred.
    • Proficiency with Microsoft Office Suite and inventory or ERP systems.
    • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
    • Excellent communication and customer service skills.

    Physical Demands:

    • Ability to lift, carry, push, and pull up to 50 pounds.
    • Frequent standing, walking, bending, reaching, and lifting throughout the workday.
    • Ability to work in a warehouse environment with varying temperatures and moving equipment.
    • Ability to safely operate material handling equipment, warehouse tools, and inventory systems, if authorized.
    • Ability to use computers and handheld inventory devices for extended periods.
