Operation: Red Dot is a Veteran-owned real estate and property management company serving owners, residents, military families, Veterans, and investors throughout the JBLM and Puget Sound region.
We are looking for a Senior Property Manager who can bring leadership, structure, accountability, and strong team development to our leasing operations.
Position Overview
The Senior Property Manager will lead the administrative side of the leasing department. This role is focused on team leadership, process improvement, staff training, owner and tenant communication, leasing workflows, and department accountability.
This is not a maintenance management role. The SPM will collaborate with Maintenance during property handoffs, turnovers, onboarding inspections, leasing readiness, and insurance claim support but Maintenance will remain its own department.
We need someone who can help build a leasing department that runs smoothly, follows documented processes, develops staff, and supports company growth.
What You’ll Do
Lead Leasing Operations
- Oversee the daily administrative workflow of the leasing department.
- Support leasing staff with task management, communication, and follow-through.
- Ensure rental inquiries, tenant onboarding, owner onboarding, renewals, move-ins, and leasing documentation are completed accurately and on time.
- Identify bottlenecks, missed steps, and areas where staff need additional support or training.
Develop the Team
- Train, coach, and support leasing and administrative staff.
- Help build and improve training materials, SOPs, checklists, and internal workflows.
- Create role clarity so team members know what they own, what they support, and when to escalate.
- Hold staff accountable while maintaining a positive and professional team environment.
Improve Processes
- Help turn recurring leasing tasks into clear, repeatable systems.
- Audit leasing files, AppFolio entries, task completion, and communication standards.
- Support continued development of internal tools such as Miro, Basecamp, Google Workspace, and department trackers.
- Help leadership strengthen the leasing department as the company grows.
Coordinate Leasing-to-Maintenance Handoffs
- Ensure Maintenance receives complete information when properties move into inspection, onboarding, turnover, or readiness workflows.
- Track when Maintenance gives the green light for leasing, media, showings, or tenant placement.
- Prevent properties from getting stuck between Leasing and Maintenance due to missing information or unclear ownership.
- Help file, track, and communicate property/rental insurance claims when needed.
Support Communication and Escalations
- Assist with owner, tenant, applicant, and internal team communication.
- Step in on escalated leasing, onboarding, payment-plan, or tenant communication issues.
- Ensure communication is clear, professional, documented, and aligned with company standards.
- Work with leadership and Accounting when issues require approval or financial handling.
What We’re Looking For
- 5+ years of property management experience.
- 2+ years in a leadership, team lead, senior PM, or supervisory role.
- Strong leasing, tenant communication, owner communication, and administrative workflow experience.
- Experience training staff and improving department processes.
- AppFolio or similar systems experience is preferred.
- Strong written and verbal communication skills.
- Comfortable using Google Workspace, task trackers, and training platforms.
- Ability to lead with accountability, professionalism, and consistency.
Bonus Points
- Experience supervising a leasing team.
- Experience building SOPs, checklists, or training programs.
- Fair Housing and Washington property management knowledge.
- Experience serving military families, Veterans, or PCS-related housing needs.
- Knowledge of Pierce County, Thurston County, JBLM, Tacoma, Lacey, Olympia, Puyallup, Lakewood, DuPont, Spanaway, and Yelm rental markets.
- Property management certifications such as CAM, ARM, CPM, or similar.
