    Description

    About the Opportunity

    We are looking for an experienced Senior Records Administrator to support records management, document control, compliance, and information governance functions in a highly regulated environment.

    This role is ideal for a records professional with strong experience maintaining complex records programs, interpreting regulatory requirements, managing document control processes, supporting audits and assessments, and ensuring accurate records retention, retrieval, and disposition.

    The position requires strong attention to detail, sound judgment, confidentiality, and the ability to work across departments while supporting both internal and external stakeholders.

    What You'll Do

    • Administer electronic document and records management systems and provide technical guidance to internal users
    • Support document control processes, including the release, review, retrieval, tracking, and maintenance of controlled documents and records
    • Develop, update, and maintain records management plans, file plans, disposition plans, procedures, training materials, and related documentation
    • Interpret and apply records-related requirements, including federal regulations, DOE directives, NARA requirements, industry standards, and applicable records management guidelines
    • Ensure records are properly classified, retained, transferred, stored, protected, and destroyed in accordance with approved schedules and contract requirements
    • Lead or support records management and document control projects that improve processes, support compliance, and streamline work activities
    • Coordinate records requests and records-related support for programs such as EEOICPA, FOIA, Privacy Act, audits, assessments, and other information requests
    • Maintain strict confidentiality when handling sensitive records, employee information, program records, and regulated documentation
    • Prepare reports, presentations, deliverables, contract milestone updates, and other materials for management, customers, and internal stakeholders
    • Develop and conduct training for employees on records management processes, file plans, electronic systems, and document control procedures
    • Support self-assessments, program assessments, external surveillances, and corrective action tracking related to records and document control functions
    • Serve as a subject matter resource for employees, coworkers, customers, and vendors regarding records management and document control requirements
    • Coordinate work across functional teams, assist with task allocation, troubleshoot issues, and help ensure deadlines and project commitments are met
    • Support department-related purchasing, requisitions, cost estimates, vendor communications, budget tracking, and administrative requirements
    • Preserve and maintain specialized records in accordance with applicable legal, regulatory, contractual, and operational requirements
    • Follow all safety practices, PPE requirements, company policies, EEO practices, code of conduct standards, and applicable operational procedures

    What We're Looking For

    Senior Records Specialist Level

    • Bachelor's degree in Business Administration, Records Management, Information Management, or a related field
    • Equivalent combination of education and directly related experience may be considered
    • 6 or more years of related records management, information management, or document control experience
    • Strong organizational, analytical, and communication skills
    • Proficiency with Microsoft 365 and records management software or tools
    • Strong knowledge of legal and regulatory requirements related to records retention

    Advanced Records Administrator Level

    • Bachelor's degree in Business Administration, Records Management, Information Management, or a related field
    • Equivalent combination of education and directly related experience may be considered
    • 8 or more years of related records management, information management, or document control experience
    • Excellent organizational, analytical, and communication skills
    • Strong computer skills, including Microsoft 365 and records management systems
    • Knowledge of DOE directives, Code of Federal Regulations, NARA Federal Records requirements, NQA-1 requirements, records management methods, and related standards

    Preferred Qualifications

    • Certificate in Records and Information Management preferred
    • Experience working in a highly regulated environment
    • Experience supporting federal, government contractor, energy, environmental, nuclear, or similar compliance-driven records programs preferred
    • Experience developing policies, procedures, training materials, assessments, and corrective action plans
    • Ability to guide junior records staff and coordinate work across functional teams
