    Description

    This role serves as the operational and project management hub for the retirement plan advisory team, driving cross-functional initiatives and managing critical deadlines across client deliverables, service provider relationships, and internal workflows. The individual in this position ensures seamless execution across all phases of client engagement - from onboarding through ongoing plan reviews - while maintaining compliance with established procedures and standards. Working closely with Advisors, Partners, clients, and external stakeholders, this individual owns the coordination of key projects, communications, and content, and plays a central role in enhancing team efficiency and client satisfaction.

    Essential Responsibilities

    • Provides comprehensive support in daily operations, assisting Advisors and Partners with a thorough understanding of team processes and procedures.
    • Serves as a trusted liaison among Advisors, Partners, clients, financial institutions, and service providers, ensuring effective communication and coordination.
    • Develops and maintains knowledge of qualified retirement plans, including 401(k) and Profit Sharing programs.
    • Establishes and cultivates rapport with all assigned clients, facilitating communication between clients and their Advisors or Partners.
    • Manages relationships with Recordkeeping Service Providers and Third Party Administrators to drive critical project and industry deadlines, while leading fund change navigation - including securing required forms and confirming associated expenses.
    • Coordinates the development and production of team content across participant communications, social media, and video, working closely with service providers to align on messaging and maintain consistent delivery across all channels.
    • Serves as a key resource for Advisors and clients alike, managing plan participant communications and inquiries while curating retirement knowledge content, maintaining the team repository, and producing presentation materials for client meetings.
    • Owns the preparation and organization of client review materials, including investment performance reports, asset class returns, allocation summaries, investment manager updates, meeting agendas, and executive summaries, partnering closely with internal stakeholders to ensure accuracy and completeness.
    • Coordinates the scheduling of client reviews, employee education sessions, and internal team meetings.
    • Assists in executing action items post-client reviews and supports the preparation of client engagement agreements, Investment Policy Statements, vendor agreements, and fee invoices.
    • Manages new clients onboarding from end to end, coordinating introductory meetings, organizing documentation, and preparing Q&A materials and responses in collaboration with internal teams.
    • Partners with team members and departments across the firm to maintain accurate data entry and reporting workflows, supports firm wide initiatives by synthesizing updates for internal stakeholders, and leads procedure development as the Salesforce subject matter expert for the team.
    • Maintains ongoing relationships with Recordkeeping Service Providers through regular touchpoints to stay current on resources, updates, and service enhancements, incorporating relevant offerings into client and participant educational materials and advisor presentations.

    Qualifications

    • Bachelor's Degree preferred with an emphasis in Accounting, Business or Finance field
    • Minimum of five years of retirement plan/benefits or other relevant work experience
    • Retirement plan designations a plus
    • Proficient in Microsoft Office Applications, with advanced expertise in Excel and PowerPoint a plus
    • Familiarity with Canva and Salesforce a plus
    • Must be authorized to work in the United States
