Description


The Senior Sales Operations Specialist provides comprehensive administrative and operational support to Prime Product Sales Representatives, ensuring seamless management of the quote-to-invoice lifecycle. This role supports more than $500M in annual revenue and requires strong organizational skills, critical thinking, and an understanding of construction and equipment operations. The Specialist ensures accurate, timely processing across systems, including IMACS, GSVT and contributes to efficient project and sales operations.

The incumbent in this position is expected to model the following practices daily:

Essential Functions


  • Models, promotes, reinforces, and rewards the consistent use of HOLT’s Values Based Leadership (VBL) tools, models, and processes to ensure alignment with our Vision, Values, and Mission
  • Ensures accurate and timely processing of sales quotes to minimize administrative constraints and maximize customer-facing activities
  • Enters new projects into IMACS upon receipt of purchase orders, ensuring accurate project initiation
  • Updates IMACS to reflect purchase order revisions, Change Order Requests (CORs), and other scope changes
  • Management of Purchase Orders and changes related to orders in customer portals
  • Prepares and creates change orders for project-related items, ensuring documentation accuracy and proper approval routing
  • Generates recurring reports for units turning over and units associated with Customer Value Agreements (CVAs)
  • Provides IMACS entry support for key, high-visibility, or strategic projects, ensuring data integrity and timely updates
  • Processes and enters GSVT discount requests, ensuring compliance with internal approval protocols
  • Works safely at all times and adheres to all applicable safety policies; complies with all company policies, procedures, and standards
  • Performs other duties as assigned

Knowledge, Skills, and Abilities


  • Proficient understanding of construction equipment sales industry.
  • Proficiency in Microsoft Excel, PowerPoint, and Word.
  • Advanced computer application skills.
  • Proficient understanding of business accounting principles.
  • Exceptional written and verbal communication skills.
  • Strong organizational, time management, and multitasking abilities.
  • Critical thinking and problem‑solving capabilities.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Ability to meet deadlines under time‑constrained circumstances.


Requirements


Education and Experience:
  • High School diploma or equivalent required; Bachelor’s degree in business administration, sales, or related field preferred. 
  • Four years of work-related skill, knowledge, or experience required; five or more preferred.
Supervisory Responsibilities:
  • None.
Travel: 
  • Travel up to 20% and some overnight travel may be required.
  • Valid Driver’s License.
Physical Requirements:
  • Ability to perform all job duties satisfactorily with or without reasonable accommodations.
  • Extended periods in a stationary position.
  • Occasional movement inside the office to access equipment and files.
  • Regular use of computers, phones, photocopiers, and other office equipment.
  • Frequent communication with Sales, Marketing, and Finance teams.
  • Occasional lifting or movement of items up to 10 lbs.
Work Environment: 
  • This job is generally performed in a professional office environment.
  • Occasionally works outdoors and may be exposed to weather extremes conditions that include inclement weather, heat, cold, and humidity.
  • Frequently works at fast pace with unscheduled interruptions.
