The Position
Operate as a subject matter expert providing technical, analytical, accounting, taxation, and reporting support to the Payroll function for Novo Nordisk Inc. and supported affiliates. Coordinate payroll-related accounting, taxation, budgeting, and reconciliation processes to ensure compliance with company policy, generally accepted accounting principles (GAAP), and federal, state, local (and where applicable international) regulations. Support end-to-end payroll preparation/processing, tax reporting, payroll systems maintenance and controls, and resolution of complex payroll issues to ensure accurate, timely payroll execution and financial posting.
Relationships
Reports to the Senior Manager, Payroll. Regular interaction with all levels of internal and external customers is required, including extensive inter- and intra-departmental collaboration (e.g., HR, Benefits, Finance, Mobility) as well as contact with vendors and outside organizations (e.g., payroll/tax service providers, auditors, relocation and benefits partners). May research complex or sensitive issues for customers and provides guidance and training to less experienced support staff as needed.
Essential Functions
Process biweekly and off-cycle payroll accurately and on time, including complex adjustments, disability-related payments, and vendor file integrations
Maintain payroll compliance with company policies, SOX controls, and applicable federal, state, local, and international regulations
Manage payroll tax, accounting, and general ledger activities, including reconciliations, journal entries, cash activity, and budget oversight
Prepare dashboards, reports, and analyses to support financial accuracy, operational decision-making, audits, and regulatory requirements
Partner with HR, Finance, Benefits, vendors, and business leaders to resolve complex issues, improve processes, and support payroll initiatives and special projects
Payroll Operations & Compliance:
Prepare and process biweekly and special/off-cycle payrolls using ADP GlobalView for Novo Nordisk Inc. employees (including Executive Team members, Vice Presidents, and International populations, as applicable) and supported affiliates
Calculate, validate, and reconcile payroll adjustments (voluntary and non-voluntary) including core benefit deductions, 401(k), insurance and other deductions; prepare and reconcile associated reports
Manage disability processing and related complex calculations, urgent off-cycle payment requests, vendor file feeds, third-party sick pay (3PSP) tracking, state disability payments, and workers' compensation offsets and processing
Ensure payroll compliance with Company policies and applicable Federal, State, Local (and where applicable international) regulations, including Sarbanes-Oxley (SOX/Sarbox) controls
Maintain payroll guidelines and written instructions for payroll policies and procedures; identify payroll vulnerabilities and opportunities for improvement and drive continuous process improvements through root-cause analysis with partner teams
Build and maintain trusting, collaborative relationships with key stakeholders; provide partnership, oversight, and direction to business leaders regarding payroll policies, programs, and initiatives
Oversee maintenance of payroll files and records, including legal record retention and coordination with storage/archiving vendors as required
Support year-end/quarter-end processes (e.g., annual enrollment impacts, special projects, issue logs) and ensure timely and accurate submission of required reporting (e.g., incident reporting, payroll metrics, payroll summaries)
Payroll Tax, Accounting, Controls & Reporting:
Coordinate payroll-related accounting, taxation, and budgeting processes; ensure compliance with GAAP and federal, state, and local regulations
Lead payroll tax activities including monitoring, managing, and reconciling employer and employee payroll taxes; reconcile payroll tax reporting after each pay run to ensure accurate filings by the tax service provider (e.g., ADP Tax) and accurate/timely posting of payroll expenses to financial systems
Ensure timely reconciliation processes and prepare payroll journal entries for Finance/GL (e.g., SAP GL via ADP GL), including GL account analysis and monthly entries by required deadlines; ensure alignment between system of record and payroll system data (e.g., cost centers and job titles)
Reconcile cash activity to payroll and tax service reports; maintain integration/translation mapping tables (e.g., ADP GlobalView) to support accurate data flow between systems
Prepare, justify, and administer budgets for payroll-related taxes, service fees, and workers' compensation; monitor and process vendor invoices (e.g., via ICE/Coupa)
Complete monthly payroll dashboards and budget reports for statistical analysis; collaborate with Finance on quarterly wage reconciliations and severance accrual reporting/reclassifications
Manage formal internal and external audits; support investigations related to regulatory and compliance matters
Gather, analyze, and report requested data to internal and external recipients; lead or support special projects such as multi-state taxation implementation and process documentation initiatives
Physical Requirements
0-10% overnight travel required. This position is virtual and can be located anywhere in the US.
Qualifications
The base compensation range for this position is $99,600 to $184,200. Base compensation is determined based on a number of factors. This position is also eligible for a company bonus based on individual and company performance.
Novo Nordisk offers long-term incentive compensation and or company vehicles depending on the positions level or other company factors.
Employees are also eligible to participate in Company employee benefit programs including medical, dental and vision coverage; life insurance; disability insurance; 401(k) savings plan; flexible spending accounts; employee assistance program; tuition reimbursement program; and voluntary benefits such as group legal, critical illness, identity theft protection, pet insurance and auto/home insurance. The Company also offers time off pursuant to its sick time policy, flex-able vacation policy, and parental leave policy.
