Summary of Position:

This represented position is accountable for all functions related to the processing, delivery, recording, and monitoring of all user departmental requests for office supplies and related office equipment. This includes maintenance of adequate inventory levels to fill such orders. The recording of all internal customer comments on the quality of the supplies being given and other related comments that may apply to the items being supplied for the business. The position also oversees the use of the postage meters, including their proper use for business purposes only, as well as being sure that they are properly maintained and supplied with postage.

Accountabilities:

• Position is accountable for the affected functions related to the processing, delivery, recording, and monitoring of all user departmental requests for office supplies, including all related office equipment. The position will also keep track of user comments on the supplies (such as poor quality of pens in a particular shipment, or the praise of a certain type of paper stock); the position will also track related comments such as the need to order a particular type of cartridges due to a new printer, etc. These comments will be forwarded to the supervisor for review with appropriate recommendations.
• Position is accountable to assure that all requests follow proper MTA guidelines, that all supply requisitions are properly processed, that inventory levels are adequate to fill such orders, and that any irregularities noted in amounts ordered or types of supplies ordered are noted and brought to the attention of the supervisor.
• The position will review invoices for incoming products ordered, check that proper items were received and delivered in proper condition and in a timely manner, that products are of the quality and number that were ordered, and that no substitutions were made to the order. This will include order follow-up as necessary, including the recording of any concerns and the prompt reporting of such to the supervisor.
• The position will track order time and delivery response and report problems with delivery to the supervisor, including updating the supervisor of any past history with the supplier.
• The position will track usage of the office/stationery contract and computer supply contract. The position will monitor any unusual items or cost items and quickly report them to the supervisor.
• The position will monitor postage usage and maintain proper logs and will be sure that only proper business use of the meters is made. The position will also keep the machines in proper maintenance and will assure that sufficient postage is available in the meters for business needs.

Required Education and Experience:

• High School education plus one year of mailroom experience. Must be able to read and write English. Must have some basic organizational skills. Must be able to keep accurate records and detailed oriented. Incumbents should have a working knowledge of the supply needs of the MTA as it applies to this position.

General:

• Incumbent must be able to lift boxes of up to 4OIbs; will be working in "mail room conditions which may include some dust, shredded paper, and similar items normally associated with mailroom operations.
• Position must keep accurate records and be aware of internal customers' needs and concerns over quality and quantity of supplies.
• Position often works alone and must be able to function effectively without close day-to-day supervision. Position needs to be a "self-starter" and to take initiatives.

May need to work outside of normal work hours (i.e., evenings and weekends)

Travel may be required to other MTA locations or other external sites.
