POSITION SUMMARY

The Senior Venue Event Captain is the primary operational leader for an assigned venue, responsible for overseeing event operations, inventory, staffing, facility readiness, and operational planning. Reporting to the Multi-Venue Operations Director, this role supervises Venue Event Captains and serves as the primary operational point of contact for clients and vendors beginning approximately 14 days prior to each event.

The Senior Venue Event Captain ensures the venue is consistently prepared to company standards through inventory management, ordering, scheduling, maintenance coordination, and staff development. This role may also serve as the Venue Event Captain during events and receives scheduling priority for event shifts. Depending on venue occupancy, additional opportunities exist to support the Venue Sales Manager with venue tours, client planning, and other booked event deliverables.

This is a part-time, hourly position eligible for overtime.

ESSENTIAL DUTIES & RESPONSIBILITIES

VENUE LEADERSHIP & OPERATIONS

  • Serve as the operational leader for the assigned venue.
  • Direct and support Venue Event Captains while maintaining company service standards and operational expectations.
  • Ensure the venue is event-ready, clean, safe, organized, and professionally maintained at all times.
  • Establish and maintain operational procedures, checklists, and venue standards.
  • Support continuous improvement of venue operations and guest experience.
  • Perform Venue Event Captain responsibilities during assigned events as needed.

EVENT PLANNING & CLIENT SUPPORT

  • Serve as the primary operational point of contact for clients and vendors beginning approximately 60 days prior to scheduled events.
  • Review event contracts to understand and confirm operational requirements, venue services, timelines, and client expectations.
  • Coordinate operational logistics with clients, vendors, and internal teams to ensure seamless execution.
  • Partner with the Venue Sales Manager and Multi-Venue Operations Director to ensure all sales and operational deliverables are completed accurately and on time

STAFFING, SCHEDULING & TRAINING

  • Create and manage event staff schedules based on business needs and event requirements.
  • Manage venue hourly staff, including employee availability, PTO requests and approvals, and accurate payroll review and submission.
  • Assign Captains, bartenders, barbacks, and event support staff appropriately.
  • Assist with hiring, interviewing, onboarding, and development efforts.
  • Conduct performance feedback and support accountability for operational standards.

INVENTORY MANAGEMENT & PURCHASING

  • Maintain accurate inventory levels for all venue operations.
  • Order and receive products including: non-alcoholic beverages, alcohol products, bar supplies, and consumables
  • Purchase venue and office supplies under the direction and budget established by the Multi-Venue Operations Director.
  • Receive deliveries, verify product accuracy, organize storage areas, and maintain inventory records.
  • Monitor inventory usage and communicate purchasing needs proactively.

FACILITY MAINTENANCE & VENDOR COORDINATION

  • Conduct routine inspections of the venue and venue assets to identify maintenance needs and operational concerns.
  • Be available onsite when necessary to meet contractors, maintenance providers, inspectors, or service vendors on behalf of the Multi-Venue Operations Director.
  • Track maintenance issues through completion and communicate project updates.

EVENT CAPTAIN & ADMIN

  • Oversee event execution to ensure company standards and client expectations are consistently achieved.
  • Assist with opening and closing procedures when necessary.
  • Ensure compliance with venue policies, alcohol regulations, and safety standards.
  • Respond quickly and professionally to operational challenges during events.
  • Support and maintain operational records including inventory, ordering, maintenance logs, staffing records, and event documentation.
  • Assist with ad hoc projects supporting venue operations as directed by Multi-Venue Operations Director

SKILLS & REQUIREMENTS

  • 3+ years of hospitality, venue, event operations, or food & beverage management experience preferred.
  • Previous management or supervisory experience required.
  • Previous bartending experience required.
  • Strong understanding of event operations, venue management, and hospitality service.
  • Experience with inventory management, purchasing, and scheduling preferred.
  • Excellent organizational and time management skills.
  • Strong communication and interpersonal abilities.
  • Ability to lead teams while maintaining a positive, solutions-focused attitude.
  • Excellent problem-solving and decision-making skills.
  • Comfortable managing multiple priorities in a fast-paced environment.
  • Must be available to work evenings, weekends, and holidays based on business needs.
  • Must be at least 21 years of age.
  • Current alcohol service certification required (market-specific).
  • Valid driver's license.
  • Must have reliable transportation, cell phone, and working computer.
  • Ability to stand and walk for extended periods.
  • Frequently lift and move up to 50 pounds.
  • Work indoors and outdoors in varying weather conditions.
  • Bend, kneel, climb stairs, and assist with event setup and breakdown.
  • Wear approved company attire.
  • Willing to maintain a flexible schedule based on venue operations.
  • Must be available on Wednesdays
