Service Center Office & Logistics Coordinator

Hours: Monday–Friday, 6:30 a.m.–3:30 p.m. | Onsite | Direct hire, full time

Imagine this

It’s Monday morning. Vendors check in and you confirm each has a current COI and has viewed the safety video in the last year. A customer calls for an update—good thing you just emailed them that their reman pump is a week from shipping. The UX system is open as you process incoming cores and start a new reman job. Timesheets are updated (SQDIP tab included), job packets are assembled, and the shipping docs you prepared move repairs in and out without delay. By afternoon, you’ve scheduled facility maintenance, ordered supplies, processed scrap letters, and captured weekly metrics as clean charts and graphs. You wrap by scanning, shredding, and filing e-docs so the ISO training records and quality reports are buttoned up.

Your impact

  • Act as the front-office anchor: greet visitors, route calls, and manage shared email
  • Draft and distribute correspondence, reports, and presentations
  • Maintain reference/document manuals and coordinate events/trainings
  • Enter timesheets and keep SQDIP current
  • Order supplies; manage departmental files
  • Schedule equipment/building maintenance
  • Initiate purchase requisitions as access is approved
  • Scan, shred, and maintain e-files per defined standards
  • Verify vendor COIs and safety training compliance
  • Prepare repairs/remans to ship; email/follow up with customers one week prior to ship dates
  • Open reman jobs, process cores, and manage core tracking in UX
  • Assemble job packets; create inbound/outbound shipping documents
  • Build logs, forms, charts, and graphs; run weekly reports
  • Process scrap letters
  • Maintain ISO training records
  • Provide software training/technical support to department users
  • Drive quality objectives via work instructions, requisitions, and corrective action notices; create quality reports

Qualifications

  • 3+ years in an administrative role supporting mid-size teams
  • 3+ years of strong Microsoft Office proficiency
  • 45 WPM typing; thrives in a fast-paced environment

Preferred profile

  • High School diploma or GED (advanced education/certifications welcome)
  • Experience in manufacturing, sales, or service organizations
  • Effective communication with stakeholders at every level
