Job Summary
The Service Coordinator is a key point of coordination for MTech’s Colorado Springs Service team, helping keep technicians, clients, and service operations moving smoothly. This role manages incoming service requests, coordinates technician schedules and dispatch, communicates with clients, and provides administrative support throughout the service process.

Working closely with technicians, service leadership, clients, and the Westminster office, the Service Coordinator helps ensure service calls are prioritized appropriately, schedules remain accurate, and work orders, materials, invoices, and related documentation are handled efficiently.

Essential Job Function:
Service Coordination & Dispatch
  • Receive and prioritize incoming service requests based on client needs, urgency, technician availability, and location
  • Schedule and dispatch technicians while maintaining accurate technician schedules and visibility of field personnel
  • Communicate work orders, schedule updates, delays, and other important information to technicians and clients
  • Monitor incoming calls, text messages, email requests, and on-call activity to ensure timely response and follow-up
  • Escalate complex service issues and scheduling challenges to service leadership as needed
Work Order & Administrative Support
  • Create and maintain service work orders, purchase orders, and related records within company systems
  • Coordinate service documentation, filing, and distribution of information throughout the service process
  • Manage preventative maintenance schedules and warranty tracking
  • Place and track material and equipment orders for service work
  • Assist with client proposals and other service-related documentation
Billing & Operational Coordination
  • Support service invoicing and payment processes in partnership with the Westminster office and Colorado Springs Service leadership
  • Help maintain accurate information within service databases and systems
  • Schedule and coordinate recurring technician and financial meetings
  • Make day-to-day decisions within the scope of the role to support efficient service operations and client needs
Client & Team Support
  • Provide responsive, professional communication and a high level of service to clients and internal teams
  • Build effective working relationships with technicians, service leadership, vendors, and support teams
  • Contribute to continuous improvement of service processes, procedures, and client experience
  • Follow company safety practices, policies, and procedures
  • Maintain regular and predictable attendance to meet the needs of the position
  • Perform other duties as assigned
Qualifications:
  • 3+ years of experience in dispatch, service coordination, project coordination, or a similar fast-paced environment preferred
  • Ability to manage multiple service requests, schedules, and priorities simultaneously
  • Strong customer service, communication, organization, and problem-solving skills
  • Proficiency in Microsoft Office Suite and comfort learning service management and business systems
  • Ability to communicate effectively and professionally with clients, field technicians, leadership, and internal support teams

This position takes place in a general office environment. Work is generally sedentary in nature but may require standing and walking for up to 20% of the time. The work environment is generally favorable. Lighting and temperature are reasonable. Work is generally performed within an office environment, with standard office equipment available and used daily, such as computers, printers, etc.
