POSITION SUMMARY:
AELP’s Service Coordinator provides a wide array of project administration and business services to support various AELP departments in executing their missions. These services span administrative, operational, maintenance, and capital endeavors, and require general business and administrative acumen, strong organizational skill, and in-depth understanding of AELP business operations and the regulatory and legal guidelines that govern them.
KEY or ESSENTIAL FUNCTIONS:
Project Administration
- Coordinate customer engagement with AELP for the purpose of project planning, execution, and completion.
- Secure documentation such as building permits, plat maps, and as-builts as necessary to satisfy regulatory and legal requirements and sufficiently inform project engineers and crews.
- Support the development and execution of construction contracts.
- Manage collection and application of customer deposits and contributions
- Manage the development of project work orders.
- Deliver project documentation to administrative stakeholders (e.g. Accounting, Consumer Affairs, etc.).
Business Services
- Manage equipment and asset records databases to track inspection, testing, damage, and other aspects as needed.
- Develop and submit reporting to various regulatory and compliance monitoring agencies.
- Develop and maintain documentation as required to meet business needs.
- Complete month-end tasks such as inventory balancing, development of accruals for accounts payable, or obtaining various meter and gauge readings at appropriate periods.
- Develop reports and data presentation as required for events such as board meetings, public and internal presentations, and analysis.
- Develop quotes, process purchase orders, and provide other support for purchasing functions.
- Track and code invoices for approval.
Fleet and Logistics
- Arrange material and personnel transportation to remote locations.
- Facilitate purchasing, maintenance, and disposals.
- Coordinate snow removal, sanding, and other winter upkeep and safety tasks
SECONDARY FUNCTIONS
- Cover phones.
- Track and report crew certifications.
- Collect, review, and deliver timesheets.
- Deliver ad-hoc and one-off services as required.
QUALIFICATIONS/REQUIREMENTS:
- A degree in business administration, construction management, or another related discipline is preferred.
- Five years or more related experience, preferably that includes the requirement to collaborate with contractors, project managers, and consultants in an administrative support capacity.
- Proficiency in MS Word, Excel, and Outlook, with a preference for experience that includes the ability to develop and maintain Excel data sets using complex formulas.
- Excellent verbal and written communication skills including the ability to draft business documents and forms.
- A proven history of contributing as a team member and successfully building relationships both internal and external.
- Excellent organizational skills and follow-through.
- The ability to coordinate multiple tasks with minimal supervision.
- The ability to demonstrate competent knowledge of project management processes and the acumen to complete complex work assignments is highly preferred. Other combinations of education and experience may be considered.
Must have a valid driver’s license and be insurable under AELP’s insurance policy. Applicants must be willing to release their driving records to AELP prior to offer of employment.
EQUIPMENT UTILIZED:
The duties of this position will require regular use of a desktop computer, keyboard, mouse, telephone, printer, as well as other office equipment as required for the job.
PHYSICAL REQUIREMENTS: To meet all expectations of this position, the employee must be able to lift twenty (20) pounds without assistance and sit for lengthy periods of time.
