Ultimate Staffing is currently sourcing a Service Coordinator for our client in the Atlanta area close to the airport. The Service Coordinator plays a critical role in delivering exceptional customer service by managing dispatch operations and serving as the central point of communication between customers, field technicians, and internal teams. This role ensures efficient scheduling, timely response to service requests, and seamless coordination to maximize technician productivity and customer satisfaction.

Key Responsibilities

  • Receive, prioritize, and schedule service requests, assigning the most appropriate technician based on location, availability, and skill set to ensure timely and effective service delivery.
  • Act as the primary communication hub, providing clear, consistent updates to customers and technicians regarding service status, scheduling changes, and job completion.
  • Coordinate daily service routes, emergency calls, and planned maintenance visits to optimize technician utilization and minimize downtime for up to 15 technicians.
  • Create, update, and track service work orders within the system, ensuring all job details, notes, labor, and materials are accurately documented for billing and reporting.
  • Monitor all active service calls (Work-in-Progress) to ensure timely completion, proactively addressing delays and coordinating follow-up actions as needed.
  • Ensure all service interactions meet or exceed customer expectations, including confirming scope of work, service timelines, and any quoted repairs prior to dispatch.
  • Partner with customers to schedule and manage ongoing maintenance programs, ensuring recurring services are completed on time.
  • Assist in sourcing parts, creating purchase orders, and tracking inventory to ensure technicians have the necessary materials for service completion.
  • Maintain accurate service records, billing documentation, reports, and logs while supporting accounts payable/receivable activities as needed.
  • Work closely with the Service Manager, sales team, and office staff to coordinate service activities, escalate issues, and ensure alignment across departments.
  • Ensure vehicle maintenance logs, safety records, and other required documentation are properly maintained.
  • Support departmental needs and perform other responsibilities as assigned.

Requirements

  • Minimum of 2 years of experience in dispatching, service coordination, or field service operations.
  • Strong understanding of dispatch processes, route planning, and workload balancing.
  • Mechanical or technical background preferred.
  • Excellent communication and customer service skills (written and verbal).
  • Ability to thrive in a fast-paced, service-driven environment with competing priorities.
  • Strong organizational, problem-solving, and multitasking abilities.
  • Proficiency in Microsoft Office (Outlook, Excel, Word) and service management/dispatch software.
  • Basic understanding of accounting processes (billing, invoicing, AP/AR).
  • Salesforce experience preferred
  • Professional demeanor when interacting with customers and internal teams.
  • Self-motivated, detail-oriented, and able to work independently or as part of a team.
  • Flexibility to work overtime when required.
  • High school diploma or GED required.
  • Ability to pass a background check.
