Description
General Summary
Provides administrative and secretarial support to the daily operations of the office.
Essential Duties and Responsibilities
Schedule meetings and subcontractor site visits
Attend Service Order meetings and prepare minutes to distribute as required
Process base access requests for subcontractors
Create Service Order documentation to include updating OMEE sheet and maintaining fund tracking sheet
Setup new vendors and contractors as needed
Schedule system outages and coordinate outages with appropriate parties
Process subcontractor payments and manage invoices
Prepare and provide required reports via various software systems and MS Office suite
Serve as liaison with government contacts as well as for Facilities Maintenance Department (FMD) revisions
Other duties as assigned
Knowledge, Experience and Skill Requirements
At least two (2) years’ prior office administrative experience
Experience with Microsoft Word, Excel, Outlook and MS Project
Strong organizational skills
Experience using telephones, fax machines, copy machines, scanners and printers
Physical, Environmental and Sensory Requirements
Work environment is a typical office setting
Physical demands include intermittent sitting, standing, and walking, and occasional bending reaching and lifting
Limited exposure to elements such as heat, cold, noise, dust, dirt, chemicals, etc. but generally not to the point of being disagreeable
