Service Planner

The Service Planner is responsible for maintaining and adjusting TRAC's run-cut schedules to ensure service delivery remains aligned with forecasted demand, available resources, and MBTA expectations. This role sits at the core of day-to-day service planning and provides the operational glue between dispatch, service providers, and the MBTA. This role is located in Quincy, MA.

Key Responsibilities:

• Maintain Daily Run-Cuts: Update and manage run-cuts in Spare to reflect service changes, route modifications, updated driver availability, and operational needs.

• Service Hour Tracking: Monitor planned vs. delivered service hours and document variances for internal and MBTA reporting.

• Coverage Monitoring: Review unscheduled and unassigned trips daily and alert MBTA and DSPs to coverage gaps.

• Holiday & Reduced Service Planning: Build and publish adjusted schedules around holidays or special events.

• Operational Adjustments: Make small-scale changes throughout the week to improve balance, service quality, and efficiency.

• DSP Coordination: Collaborate with Dedicated Service Providers to ensure their schedules align with run-cut requirements, garage locations, vehicle types, seat capacities, and MBTA guidance.

• Non-Dedicated Service Provider Utilization: Support the use of NDSPs to smooth out peak periods and assist with margin coverage or long-distance trips.

• Documentation & SOP Updates: Keep planning documentation and SOPs up to date in Zendesk Guide.

• Staff Schedules: Support internal scheduling by maintaining TRAC departmental schedules (reservations, dispatch, QA) and ensuring coverage for PTO and peak periods.

• Meeting Participation: Attend weekly coordination meetings with MBTA and DSPs to review run-cuts, coverage, and upcoming service adjustments.

Skills & Tools:

• Intermediate Excel skills (shift expansion, visualizations, schedule modeling)

• Basic SQL knowledge for extracting service data (current state)

• Familiarity with Spare (current + future state, including import/export functionality)

• Ability to interpret operational KPIs and modify schedules based on performance insights

• Strong communication and collaboration with DSPs, MBTA, and internal TRAC departments

Qualifications:

• High school diploma or equivalent, such as GED, required

• 2 years reservationist or customer service experience preferred.

• Computer literate

• Excellent communication and listening skills

• Must be able to work shifts or flexible work schedules as needed.

• Subject to a DOT drug testing and physical if applicable. DOT Regulation 49 CFR Part 40 does not authorize the use of Schedule I drugs, including cannabis, for any reason.

Physical Requirements:

The essential functions of this position require the ability to:

• Must be able to work flexible schedules as needed

• Majority of work is accomplished indoors and in air conditioned or well-ventilated facilities.

• Majority of work is accomplished in an office or in a cubicle space equipped with a telephone and computer.

• The employee is generally subjected to long periods spent sitting, typing, or looking at a computer screen.
