Shipping Clerk – Main Responsibilities
The Shipping Clerk is responsible for coordinating outbound carrier activity, maintaining accurate shipping documentation, and supporting dock operations to ensure freight is loaded, documented, and released correctly.
Carrier Check-In and Check-Out
  • Greet and check in drivers upon arrival.
  • Verify carrier name, appointment time, load number, trailer number, seal requirements, and driver information.
  • Confirm the driver has the correct pickup details before assigning a dock door.
  • Communicate delays, early arrivals, or appointment issues to warehouse supervision or transportation as needed.
  • Complete driver check-out once loading is finished and paperwork is ready.
Dock Door Allocation
  • Assign dock doors based on appointment schedule, load priority, trailer type, customer requirements, and warehouse readiness.
  • Coordinate with shipping leads, loaders, yard personnel, and supervisors to manage dock flow.
  • Monitor door utilization to reduce congestion and avoid missed appointments.
  • Update door assignment logs, dock boards, or warehouse systems as required.
BOL and Shipping Paperwork Completion
  • Prepare, review, and complete Bills of Lading, packing lists, shipment manifests, and customer-required documents.
  • Verify shipment details including PO numbers, order numbers, case counts, pallet counts, weights, trailer number, seal number, and carrier information.
  • Ensure paperwork is accurate before releasing the driver.
  • Obtain required signatures from drivers and internal personnel.
  • File, scan, or upload completed documents according to company and customer procedures.
Shipment Accuracy and System Updates
  • Confirm outbound loads are staged, loaded, and completed in the warehouse management system or transportation system.
  • Validate that shipped quantities match system records and shipping paperwork.
  • Report discrepancies, damages, shortages, overages, or load issues immediately.
  • Ensure shipment status updates are completed in a timely manner.
Communication and Coordination
  • Serve as the main point of contact for drivers during the shipping process.
  • Communicate with warehouse teams, customer service, inventory, transportation, and supervisors regarding load status.
  • Escalate issues that may impact on-time departure, customer compliance, or freight accuracy.
  • Maintain professional communication with carriers and internal teams.
Compliance and Recordkeeping
  • Follow customer-specific shipping requirements, routing guides, seal procedures, and documentation standards.
  • Maintain organized shipping records for audits, claims, billing, and customer inquiries.
  • Ensure all outbound paperwork is complete, accurate, and retained properly.
  • Support compliance with safety, security, food-grade, hazmat, or other site-specific requirements where applicable.
General Operational Support
  • Maintain a clean and organized shipping office and driver check-in area.
  • Assist with appointment scheduling, trailer status updates, and daily shipping reports.
  • Support problem resolution for missed appointments, incorrect paperwork, rejected trailers, or system errors.
  • Help ensure outbound operations meet service, accuracy, and productivity goals.
