Shipping & Receiving Specialist
Pay: $55,000–$75,000 per year
Location: Near Malta, NY
Schedule: Four-day work week

About the Role

We're looking for a Shipping & Receiving Specialist to manage the accurate receipt, inspection, storage, packaging, and shipment of power electronic components. This role ensures compliance with company procedures, customer requirements, and applicable government regulations, and plays a key part in maintaining high-quality packaging, coordinated shipping logistics, accurate inventory, and on-time delivery within a highly regulated manufacturing environment.

Duties and Responsibilities

  • Prepare domestic and international shipments according to customer specifications and military packaging requirements, using protective packaging techniques to safeguard products through delivery
  • Coordinate shipments through customer portals, approved carriers and freight providers, and government inspectors
  • Generate shipping labels, bills of lading, packing lists, and other required shipping documentation
  • Process shipments and maintain shipping material inventory levels using ERP and shipping software systems
  • Perform inventory transactions including receiving, transfers, cycle counts, and inventory adjustments
  • Determine the most efficient and economical routing and mode of transportation
  • Initiate investigations into damages, shortages, or freight/insurance overcharges
  • Maintain compliance with AS9100, customer-specific requirements, and company quality procedures; follow export control regulations, including ITAR and EAR, when handling controlled products and documentation
  • Own and administer the crane and forklift operator certification program, including OSHA-compliant training, operator evaluations, certification records, recertification schedules, and adherence to safety policies
  • Maintain a clean, organized, and safe shipping and receiving environment
  • Assist with physical inventories and cycle counting activities
  • Report and resolve inventory discrepancies, damaged materials, or shipping issues promptly
  • Initiate improvements to increase control and efficiency of the shipping and receiving department
  • Audit freight bills prior to payment approval
  • Develop new packaging designs and techniques as needed

Required Qualifications

  • High school diploma or GED required
  • Minimum of 3 years of shipping and receiving or warehouse experience in a manufacturing environment
  • Minimum of 3 years of experience with inventory management or ERP systems
  • Ability to read packing lists, purchase orders, bills of lading, and shipping documentation
  • Basic computer proficiency, including Microsoft Office applications
  • Ability to lift up to 50 pounds and stand or walk for extended periods
  • Ability to obtain and maintain required security clearance

Preferred Qualifications

  • Strong attention to detail and organizational skills
  • Experience in defense, aerospace, or military manufacturing
  • Familiarity with AS9100, ISO 9001, and military quality standards
  • Knowledge of ITAR and export compliance requirements
  • Experience running OSHA forklift and crane certification programs
  • Experience using barcode scanners and warehouse management systems
  • Experience with FedEx, UPS, DHL, and freight shipping software
