The Sr. On-Site Specialist is responsible for managing domestic and international shipping operations, freight logistics, dock activities, and customer communications. This role ensures the accurate and timely movement of materials, products, and documents while maintaining excellent customer service and operational efficiency.
Key Responsibilities
Shipping & Logistics
-Process and coordinate Client domestic and international shipments, including preparation of shipping documentation, customs paperwork, and tracking information.
-Arrange and manage freight shipments through approved carriers, ensuring cost-effective and timely delivery.
-Monitor shipment status and resolve transportation or delivery issues as they arise.
-Ensure compliance with shipping regulations, import/export requirements, and company policies.
-Receiving & Dock Operations
Receive, inspect, and verify incoming shipments for accuracy and damage.
-Coordinate dock scheduling, loading, and unloading activities.
-Maintain accurate shipping and receiving records, inventory transactions, and delivery documentation.
-Organize and stage outbound shipments to ensure efficient dock operations.
Customer Communication & Support
-Serve as a primary point of contact for customers regarding shipment status, delivery schedules, and logistics inquiries.
-Communicate professionally with internal teams, vendors, carriers, and customers using Microsoft Outlook and Microsoft Teams.
-Provide updates on shipping timelines, freight movement, and issue resolution.
-Respond promptly to customer requests and maintain a high level of service.
Administrative & System Support
-Maintain shipping records, reports, and documentation in company systems.
-Utilize Microsoft Office applications, including Outlook, Teams, Excel, and Word, to manage communications and operational reporting.
-Support continuous improvement efforts related to shipping, receiving, and logistics processes.
-Follow safety procedures and company standards for warehouse and dock operations.
Qualifications
-Experience with Client domestic and international shipping processes.
-Knowledge of freight shipping, carrier coordination, and logistics operations.
-Experience with shipping and receiving dock activities.
-Strong customer service and communication skills.
-Proficiency with Microsoft Outlook, Teams, Excel, and other Microsoft Office applications.
-Ability to manage multiple priorities in a fast-paced environment.
-Strong attention to detail and organizational skills.
Preferred Experience
-Experience with inventory management or warehouse operations.
-Familiarity with customs documentation and international shipping regulations.
-Knowledge of shipping software and freight management systems.
