Description

The Shipping & Receiving Coordinator serves as the loading dock master and primary point of contact for all incoming and outgoing freight, mail, and package operations for the facility. Under the direction of the Manager, Special Projects, this role manages the complete mail room operation including tracking systems, postage application, shipping supply ordering, and coordination with building management for large deliveries. The coordinator triages and assigns all facilities tickets, monitors communication channels, and handles employee-related deliveries to ensure seamless facility operations.

The coordinator must maintain strict client confidentiality and effectively take direction from direct supervision, project management, and the client as needed. The ideal candidate will be detail-oriented, highly organized, and able to work both independently and as part of a cohesive team.

Location: Bellevue, WA

Schedule: Monday through Friday, 8am - 5pm

Wage: $31.08 per hour | Full Wage Range: $31.08 - $39.17 per hour)

Key Responsibilities

Shipping and Receiving Operations

  • Serve as loading dock master and manage all building-related certificates of insurance (COI) for TPCi, tracking upcoming expiration dates for renewal.
  • Approve and track all incoming and outgoing large freight deliveries and coordinate approval with building management (IT deliveries, Events team deliveries, etc.).
  • Wrap, stage, and schedule outgoing large freight shipments.
  • Process VIP shipments with priority handling.
  • Schedule pallet pickups as needed.

Mailroom and Package Management

  • Process, sort, track, and deliver incoming flat mail throughout the facility.
  • Weigh and apply postage for outgoing flat mail.
  • Manage all outgoing package shipments through various carriers.
  • Deliver or release packages to employees for pickup.
  • Update and manage mail tracking program systems and documentation.
  • Order shipping supplies to maintain inventory.
  • Maintain responsibility for overall mail room operations and organization
  • Ensure mail room is clean, organized, and functional always.

Requirements

Education

  • High School Diploma or GED required
  • Associate degree preferred

Experience

  • Minimum 3 years of experience in shipping and receiving, logistics, mail room operations, or facilities coordination.
  • Experience managing dock loading operations and coordinating with building management preferred.
  • Experience with shipping software, mail tracking systems, and postage equipment preferred.

Demonstrable Skills

  • Ability to work independently and manage multiple priorities simultaneously.
  • Superior attention to detail and ability to meet deadlines in a fast-paced environment.
  • Strong organizational skills with ability to maintain accurate records and tracking systems.
  • Excellent communication skills for coordinating with vendors, building management, and internal teams.
  • Proficiency with shipping carrier systems (FedEx, UPS, USPS) and mail tracking software.
  • Ability to be flexible and change direction at a moment's notice; not change-adverse.
  • Ability to work cohesively with other supporting vendors, including project management, security, and facilities.
  • Ability to understand, interpret and follow Northwest Center (NWC) and client policies and procedures.
  • Commitment to working in an inclusive and diverse environment.

Working Conditions & Physical Demands

  • Must be able to frequently carry and lift supplies/equipment, up to 50 pounds.
  • May need to carry supplies to other buildings.
  • Variable working hours with occasional nights and weekends.
  • Ability to stand or walk for extended periods of time, up to the entire duration of the shift.
  • Ability to read, write, communicate and comprehend the English language.
  • Ability to see both distance and details at close range, within a few feet of the observer (with or without corrective lenses).
  • Ability to identify and understand the speech of another person (with or without a personal auditory hearing device).
  • Ability to work a flexible schedule to meet the needs of the business
