Supervisor: Shipping & Receiving Manager

Status: Non-Exempt Hourly

Position Purpose: The Shipping & Receiving Coordinator is responsible for coordinating and overseeing all inbound and outbound shipments within the manufacturing facility. This role ensures the accurate receipt, inspection, storage, documentation, and shipment of materials and finished goods while maintaining inventory accuracy and supporting production schedules. The Shipping & Receiving Coordinator works closely with production, warehouse, customer service, logistics providers, and suppliers to ensure efficient material flow and on-time delivery performance. The role requires strong organizational skills, attention to detail, and the ability to work collaboratively with internal departments and external partners.

Principle Accountabilities

• Coordinate and manage all inbound and outbound shipments of materials, components, and finished goods to ensure timely delivery and receipt.
• Prepare and maintain all required shipping documentation including bills of lading, packing lists, shipping labels, invoices, and carrier paperwork.
• Schedule and coordinate freight pickups and deliveries with approved carriers, vendors, and transportation providers.
• Track shipments and proactively communicate delivery status, delays, shortages, or transportation issues to internal and external stakeholders.
• Investigate and resolve shipping discrepancies, freight claims, damaged shipments, and transportation-related concerns.
• Receive incoming materials, supplies, and equipment; verify quantities, inspect for damage, and reconcile receipts against purchase orders and packing documentation.
• Enter receiving, shipping, and inventory transactions accurately into the ERP or inventory management system and maintain organized records.
• Coordinate the proper storage, handling, distribution, and inventory rotation of materials to support operational efficiency and product integrity.
• Monitor inventory accuracy through cycle counts, physical inventories, reconciliations, and discrepancy investigations.
• Support production operations by ensuring the timely availability and movement of raw materials, packaging supplies, and components.
• Operate material handling equipment, including forklifts, pallet jacks, and RF scanners, in a safe and efficient manner.
• Organize warehouse and storage areas to maximize space utilization, maintain inventory accuracy, and minimize product damage.
• Serve as the primary point of contact for carriers, suppliers, internal departments, and distribution partners regarding shipping, receiving, and inventory matters.
• Collaborate closely with Production, Purchasing, Planning, Customer Service, and other departments to support customer commitments and operational goals.
• Maintain compliance with company policies, OSHA regulations, transportation regulations, and warehouse safety requirements.
• Maintain clean, organized, and safe shipping, receiving, and warehouse areas in accordance with 5S and workplace safety standards.
• Support continuous improvement initiatives focused on warehouse efficiency, inventory accuracy, shipping performance, and cost reduction.
• Provide excellent customer service to internal and external customers while promoting a culture of teamwork and accountability.
• Perform other duties and special projects as assigned by management.

Essential Skills and Experience

• High School diploma or equivalent required.
• 2+ years of shipping, receiving, warehouse, or logistics experience in a manufacturing environment.
• Proficient in Microsoft Office suite required.
• Experience using ERP, WMS, or inventory management systems.
• Excellent written and oral communication skills required.
• Exceptional organizational and time management skills required.
• Knowledge of hazardous materials handling and shipping regulations (DOT, IATA) is beneficial.
• Strong attention to detail and organizational skills.
• Ability to work independently and manage multiple priorities.
• Ability to lift up to 50 lbs and operate warehouse machinery safely including forklifts.
