CTG is seeking to fill a Site Events Coordinator position for our client. Location: Albany, NY Duration: 12 months Duties: • Coordinate and manage site visits, customer visits, employee events, meetings, and special programs from planning through completion. • Plan and oversee event logistics, including venue selection, room setup, catering, refreshments, audiovisual needs, and event materials. • Manage relationships with venues, vendors, caterers, and service providers. • Develop event timelines, schedules, communication plans, and registration processes. • Recruit, organize, and lead event planning committee members and volunteers. • Facilitate planning meetings and ensure event objectives, milestones, and deadlines are met. • Monitor event budgets and track expenses. • Coordinate attendee registrations, guest communications, and on-site logistics. • Ensure meeting rooms and event spaces are properly prepared and configured. • Proactively identify and resolve issues to support successful event execution. • Conduct post-event evaluations and recommend process improvements. • Occasionally support events outside of standard business hours. Skills: • Event Planning & Coordination • Project Management & Logistics • Vendor and Service Provider Management • Leadership & Team Coordination • Customer Service & Relationship Building • Strong Communication and Organizational Skills • Problem Solving and Attention to Detail • Microsoft Office Suite, including Outlook, Teams, Excel, and PowerPoint Experience: • 2+ years of experience coordinating events, meetings, corporate functions, hospitality operations, or related activities. • Experience leading committees, volunteers, or cross-functional teams. • Demonstrated ability to manage multiple projects, priorities, and deadlines simultaneously. • Experience coordinating vendors, catering, facilities, audiovisual services, and other event logistics. • Ability to work onsite in Albany, NY and occasionally support events outside standard business hours. Education: • Bachelor's degree in Event Management, Hospitality, Business Administration, Communications, or a related field preferred. Excellent verbal and written English communication skills and the ability to interact professionally with a diverse group are required.
