Location

Our Kennesaw campus is located at 1000 Chastain Road NW, Kennesaw, GA 30144. Our Marietta campus is located at 1100 South Marietta Parkway, Marietta, GA 30060.

Job Summary

Maintains comprehensive oversight of the universitys facility and space records by managing both physical and digital archives, ensuring the accuracy and integrity of the enterprise space database, and coordinating data flows across all linked systems. Oversees the collection, verification, organization, and long-term stewardship of space information, ensuring records remain current, compliant, and accessible to campus stakeholders. Leads efforts to standardize data practices, resolve discrepancies, and support reporting needs for planning, compliance, budgeting, and strategic decision-making.

Responsibilities

KEY RESPONSIBILITIES:

  1. Maintains and updates Banner or similar space management system space and building data tables

  2. Maintains CAD floor plans, enters and updates space data in the university space database, requiring frequent site visits and field verification of conditions, and data collection from construction project management following project completion

  3. Updates include architectural layouts, room polylines, calculated square footage, Facilities Inventory and Classification Manual (FICM) use code, occupant, and departmental allocation

  4. Facilitates the process for employee location updates in the university space database

  5. Responsible for updating classroom names, capacities, and active status in Banner or similar space management system

  6. Maintains this information in partnership with the Registrar, Event and Venue Management, and space strategy team

  7. Reports on space data to the University System Office per established schedule in the Facility Inventory Data Collection, and annually in the square footage report by providing data on planned increases in square footage and Resident Instruction square footage

  8. Collects as-built drawings from construction project team following project completion and stores files in the university digital drawing archive

  9. Manages access to digital archive for campus partners

  10. Maintains the universitys physical and digital drawing archives for reference by campus partners, including door access, University Information Technology Services, Maintenance and Operations, Environmental Health and Safety and other stakeholders

  11. Serves as the main point of contact for updates to or implementation of the system of record for space data

  12. Reviews and approves integrations with other campus databases requiring access to space and facilities data

  13. Maintains building and land entries in the BLLIP or similar database

  14. Reviews and records room use changes

  15. Provides input on building numbering or renumbering in partnership with environmental graphics team

  16. Updates campus base map linework for reporting purposes, such as Clery Act reports, and to provide base data updates to online campus maps

  17. Responds to requests for space data for reporting purposes, such as the National Science Foundation research space survey, Facilities and Administrative rate study, SACS accreditation, or ad hoc queries and reporting for campus requests

Required Qualifications

Educational Requirements

Bachelors degree from an accredited institution of higher education in architecture or architectural technology, interior design, engineering, construction management, construction technology, facilities management, or related field or an equivalent combination of relevant education and/or experience.

Other Required Qualifications

Current, valid, and unrestricted drivers license

Required Experience

Two (2) years of related experience in design or construction, facilities management, archive management or space management.

Proficient in AutoCAD

Preferred Educational Qualifications

An advanced degree from an accredited institution of higher education in a related field

Preferred Experience

Experience in planning, design, construction, space management, or facilities management at an institute of higher education

Proposed Salary

The budgeted salary range is $59,460 to $72,600. Offers are based on relevant experience.

ABILITIES

Able to interpret architectural construction drawings

Able to conduct site walks, take measurements, and capture space data notes during regular space verifications

Strong organizational skills and follow-through

Especially detail oriented

Able to handle multiple tasks or projects at one time meeting assigned deadlines

KNOWLEDGE

Familiarity with FICM (Facilities Inventory and Classification Manual) use codes and proper application

Knowledge of space management software and/or computer aided facility management

Understanding of relational databases

SKILLS

Excellent interpersonal, initiative, teamwork, problem solving, independent judgment, organization, communication (verbal and written), time management, project management and presentation skills

Expert user of computer-aided drafting software

Proficient with computer applications and programs associated with the position (i.e., Microsoft Office suite, AutoCAD, graphic software, such as Adobe Creative Suite and Bluebeam)

Strong customer service skills and phone and e-mail etiquette
