Our client, a leading healthcare and academic institution committed to excellence in research and patient care, is hiring a Space Management Coordinator. The Space Management Coordinator plays a vital role in supporting the effective utilization and management of real estate assets within the institution. Reporting primarily to the Assistant Director of Space Planning and Management, this position is responsible for developing planning studies, maintaining enterprise drawing files, and documenting newly acquired and leased sites. The role requires a highly organized, proactive professional capable of managing multiple projects concurrently while collaborating effectively with internal teams and external stakeholders to ensure strategic space utilization aligned with institutional goals.
Responsibilities
Assist space planners in managing space requests, programs, and allocations.
Conduct space audits, offer guidance on space utilization, track move-add-change (MAC) scenarios, and ensure completion of From-To lists.
Manage internal and external communications to gather information necessary for updating the space inventory database.
Support the development and production of reports and plans for test-fits and feasibility studies related to space planning and capital projects.
Maintain the accuracy and completeness of the enterprise Space Inventory, integrating CAD documents and updating databases of owned or leased properties.
Field measure new properties, inspect and verify existing conditions, and document findings in AutoCAD drawings.
Develop, revise, and standardize AutoCAD drawings in accordance with RED+F Design Guidelines.
Propose and implement room numbering systems that improve wayfinding and operational efficiency.
Collaborate closely with RED+F units, Campus Planning, and other stakeholders in a team-oriented environment.
Requirements
Minimum a Bachelors Degree or equivalent.
Minimum three years of experience with Computer-Aided Design (CAD).
Knowledge of Computer-Aided Facility Management (CAFM) and/or database management systems.
Proficiency with AutoCAD (version 2000 or above), MS Access, MS Excel.
Experience with academic, healthcare, research facility, or laboratory space planning highly preferred.
Strong communication, graphic, and analytical skills.
Basic understanding of Relational Database Management Systems (RDBMS).
Ability to document space through field measurements, verify conditions, and develop accurate drawings.
Excellent multi-tasking ability, attention to detail, and ability to develop positive relationships across teams and clients.
Ability to work collaboratively within a multidisciplinary team setting and proactively manage work products.
