Job Description
Alabama State University, Intercollegiate Athletics, invites applications to fill the position of Special Assistant to Head Football Coach. The Special Assistant to the Head Coach for Mens Basketball serves as a key member of the mens basketball program and provides strategic, operational, and administrative support to the Head Coach. This position assists with program management, recruiting operations, player personnel coordination, scheduling, travel logistics, budget monitoring, community engagement, and special projects. The Special Assistant acts as a liaison between the coaching staff and various athletics and university departments while helping to ensure the efficient day-to-day operation of a Division I mens basketball program.
Duties and Responsibilities:
Program Administration
- Serve as the primary administrative support person for the Head Mens Basketball Coach.
- Manage calendars, schedules, meetings, and travel arrangements for the Head Coach.
- Coordinate internal and external communications on behalf of the basketball program.
- Prepare reports, presentations, correspondence, and other program-related materials.
- Organize and maintain program records, files, and confidential information.
- Assist with special projects and strategic initiatives identified by the Head Coach.
Basketball Operations
- Assist with the coordination of daily basketball operations.
- Coordinate team travel logistics, including transportation, lodging, meals, and itineraries.
- Assist with scheduling practice times, team functions, recruiting events, and special appearances.
- Serve as a liaison with athletic department units to ensure operational efficiency.
- Support game-day operations and team activities as assigned.
Recruiting Support
- Assist with recruiting administration in accordance with NCAA, conference, and university regulations.
- Coordinate official and unofficial recruiting visits.
- Prepare recruiting itineraries and visit schedules.
- Assist with recruiting database management and organization.
- Coordinate communication and logistical support for prospective student athletes and their families.
- Support recruiting events and campus experiences designed to enhance student-athlete recruitment.
Player Personnel and Student-Athlete Support
- Coordinate communication with academic services, compliance, financial aid, housing, and student affairs personnel.
- Monitor student-athlete needs and assist in connecting student-athletes with available campus resources.
- Support initiatives focused on leadership development, career preparation, and student-athlete well-being.
Community Engagement and External Relations
- Assist with alumni engagement initiatives and donor relations events.
- Coordinate community service projects and outreach activities involving the mens basketball program.
- Collaborate with marketing, communications, and development staff to promote the program.
- Assist with camps, clinics, speaking engagements, and special events.
Budget and Financial Administration
- Assist with budget tracking and expense monitoring.
- Coordinate purchasing requests, travel documentation, and reimbursement processes.
- Maintain records of expenditures and operational expenses.
- Assist with fundraising initiatives and program enhancement projects as assigned.
Compliance and Risk Management
- Ensure all activities are conducted in accordance with NCAA, SWAC, university, and athletics department policies.
- Maintain confidentiality regarding student-athletes, recruiting, personnel matters, and program operations.
- Assist with documentation and reporting requirements related to basketball operations.
Other Duties
- Travel with the team as assigned.
- Assist with summer camps and basketball-related events.
- Perform other duties as assigned by the Head Mens Basketball Coach, Deputy Athletic Director, or Director of Athletics.
Minimum Qualifications
Bachelors degree, and 1 year of experience in collegiate athletics, basketball operations, athletics administration, or a related field required. Masters degree in Sports Administration, Business Administration, Higher Education, or Communications preferred.
Knowledge and Skills
- Knowledge of NCAA rules and regulations.
- Strong organizational, administrative, and project management skills.
- Excellent written, verbal, and interpersonal communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong attention to detail and ability to maintain confidentiality.
Preferred Qualifications
- Experience working with Division I basketball programs.
- Experience coordinating recruiting operations and official visits.
- Familiarity with Teamworks, Synergy, Hudl, or other athletics management platforms.
- Experience in donor relations, event management, or student-athlete development.
- Previous experience at an HBCU or within an HBCU athletics department.
