Special Events Apprentice

Classification: Full-time/non-exempt

  

Summary/Objective:

The Special Events Apprentice will work with the Special Events Department to help with the execution of all non-Astros baseball events and meetings held at Daikin Park. Our events business is wide-reaching and includes business meetings, galas, trade shows, corporate team building such as batting practices and softball games, concerts, self-produced events, holiday parties, and receptions.

The apprenticeship supports the planning and execution of events, working closely with coordinators and managers to ensure successful outcomes. Responsibilities may include vendor management, event planning, and on-site logistics. This role often serves as a learning opportunity, allowing the apprentice to gain hands-on experience in event management, client relations, and project coordination.

Essential Functions & Responsibilities:

  • Assist and provide support to the Special Events team, including administrative tasks such as handling event inquiries, scheduling, contracts, event preparation, and follow-up.
  • Support the planning and execution of meetings by overseeing the invitations and tracking RSVPs.
  • Oversee various smaller events delegated by Director, Events or VP, Events.
  • Help manage internal events for departments within the organization.
  • Provide on-site support during events, which may include setup and breakdown.
  • Participate in meetings and contributing to event strategy discussions.
  • Assist in coordinating the Field Event schedule.
  • Draft and process documentation for internal event agreements.
  • Learn and help develop proformas for various events produced by the department
  • Offer support during the regular and post-season as needed.
  • Perform other tasks as assigned.

 

Education or Experience and/or Skills:

  • High School Diploma or equivalent.
  • In pursuit or recent completion of a bachelor’s degree in business, Hospitality, Event Management, Marketing or a related field is preferred.
  • Shown past interest in Special Events field through previous internships, jobs, or shadowing opportunities.
  • High level of professionalism with ability to thrive in a fast-paced team environment.
  • Superior attention to detail and deadline orientation.
  • Ability to work efficiently.
  • Highly motivated with strong work ethic.
  • Ability to maintain discretion concerning confidential records.
  • Ability to interface with internal and external partners.
  • Proficient in Microsoft Office with an emphasis on Excel and Word preferred.
  • Ability to prioritize tasks and handle numerous assignments simultaneously.
  • Strong written and interpersonal skills.

 

Work Environment:

This job operates in an office, clerical setting. This role routinely uses standard office equipment such as computers, phones, and photocopiers. The noise level is usually moderate but can be loud within the stadium environment.
