Salary: $17.50 (hourly, seasonal)

Commitment:10-12 hours per week from September 2026 to February 2027. Schedule is flexible with required attendance at the Annual Auction (October 9 & 10, 2026), Holiday Adopt-a-Family (December 11 & 12, 2026), and Youth of the Year (January 29, 2027)


Primary Function

The Special Events Intern will support the planning, coordination, and execution of Boys & Girls Club of San Marcos’ signature fundraising events. This role offers hands-on experience in nonprofit event management, donor stewardship, and community relations while helping advance BGCSM’s mission to inspire and enable all young people to reach their full potential as productive, responsible, and caring citizens. The internship will provide opportunities to build practical experience in nonprofit event planning, auction and donation coordination, volunteer communication, donor stewardship, and community engagement.


Key Responsibilities 

  • Assist with event logistics including vendor and team coordination, supply checklists and organization, and development and execution of event timelines.
  • Contribute ideas for creative event décor, donor engagement, and guest experience strategies.
  • Assist with email, phone, or in-person outreach to local businesses and individuals to procure silent and live auction item donations.
  • Support auction item and donation management, including tracking donated items, creating package descriptions, and ensuring donors receive appropriate recognition.
  • Organize donated items, assemble auction packages for display, and ensure they are showcased online and in event baskets.
  • Assist with recruiting, communicating with, scheduling, and directing event volunteers.
  • Provide on-site support during events (set-up, registration, guest services, breakdown).
  • Help coordinate the Club’s donor-to-family matching holiday program by coordinating family assignments, distributing wish lists to donors, and managing communications and drop-off logistics.
  • Support post-event activities including thank-you letters, recap reports, and event breakdown and space reorganization.


Qualifications

  • Current college student or recent graduate with an interest in event management, communications, marketing, nonprofit management, or related field.
  • Strong organizational skills with attention to detail and ability to manage multiple tasks.
  • Excellent communication and interpersonal skills.
  • Ability to work occasional evenings/weekends for special events including the mandatory dates described in the Commitment section above.
  • Proficiency in Microsoft Office, Canva, or other design tools is a plus.
  • Must be at least 18 years of age and have valid identification.
  • Must have or be able to obtain a valid California driver’s license.
  • Must successfully clear all background screenings.

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The workspace is in an office environment. Noise levels vary but can be moderate to high during programming.
