Description

Do Great Things! Durham Technical Community College is hiring an Admissions Specialist in the Student Development and Support Department. The Admissions Specialist assigned to the Admissions, Registration, and Records (ARR) office serves to support the processes within that office. The Specialist engages in activities related to credit and non-credit admissions, registration, and records processes, including the integration of the college's credit and non-credit functions. In addition, this person will assist in front-desk support within the office or elsewhere within the department during busy enrollment periods. More specifically, and consistent with the employees current contract of employment.

Examples of Duties

  • Process applications and electronic high school transcripts from the shared Durham Tech - College Foundation of North Carolina (CFNC) website and Element451.
  • Process non-credit course and program registration forms.
  • Scan documents (personal documents, admission/registration forms, graduation portfolios, credit and non-credit registration forms, transcripts, etc.), then verify for accuracy, and archive documents into the student electronic record using the college's data imaging software.
  • Ensure that all applications are completed accurately, and timely.
  • Contact student applicants using technologically efficient methods to verify missing information. Review Element451 integration logs for application errors to ensure efficient application processing from Element451 to Colleague.
  • Assist with the maintenance and accuracy of student demographic information in Colleague.
  • Provide up-to-date admissions and program of study information to current and prospective students.
  • Maintain program statuses of applicants and students in the Student Information System (Colleague).
  • Adhere to processes and workflows to support the Career and College Promise (CCP) program. Collaborate with the assistant registrar, director of College Recruitment and High School Partnerships and college liaisons to ensure student needs are met and established procedures effectively support the program and its mission. Understand and problem solve issues related to the CCP CFNC application as it relates to the import process to Colleague.
  • Ensure that written and electronic communication with students regarding admissions related questions, applications and supporting documents are accurate and timely.
  • Participate and maintain current knowledge via on-going professional development for student records functions in Colleague and other technical support concerns, to include State Residency guidelines and exceptions for in-state tuition.
  • Assist with the logging and tracking of applications and other admissions-related documents received electronically, by mail, or hand delivered, into Softdocs.
  • Assist in the daily operations of the office, as necessary, including front desk customer service, answering telephones, mailings, data entry and retrieval, and file organization.
  • Create a welcoming and positive relationship with visitors and ensure the interaction is an efficient and helpful experience.
  • Perform job duties and interact with all constituents in a manner that creates a friendly and supportive atmosphere for students, faculty, staff and the public.
  • Ensure proper security of Durham Tech's student educational records in accordance with the Family Educational Rights and Privacy Act (FERPA), state law, community college system regulations, and college policies and procedures.
  • Adhere to processes to fully automate student records tasks in Colleague and Element451.
  • Assist with the process of ensuring and supporting accurate end of course (credit and non-credit) grade reporting.
  • Print student transcripts as needed.
  • Assist with commencement activities.
  • Fulfill committee assignments and other special appointments, as assigned.
  • Participate as part of the unit's team in planning and decision making for ARR and other Student Development and Support offices.
  • Become knowledgeable of college policies, workflows/procedures, and be able to support other areas of the college.
  • Be an integral part of the registration team for both credit and non-credit courses during high volume admissions and enrollment times, including serving as administrative support to other offices.
  • Additional duties shall include other appropriate activities as assigned by the Vice President, and/or the President.

Minimum Qualifications

Associate degree in office administration, office systems, business administration, records management, information systems, or related field with at least two years' work experience

Work Experience:

Minimum of two years of successful experience in a customer service-related environment or office setting at a postsecondary institution that includes data-entry, electronic records management, or related experience

Supplemental Information

  • Knowledge of admissions policies and procedures including the Residency Determination System (RDS).
  • Collaborate with the assistant registrar and registrar on projects to think critically and problem solve with the ability to anticipate needs, make decisions, and implement action plans.
  • An affinity for organization, accuracy, and efficiency in a fast-paced environment.
  • Excellent interpersonal skills, organizational skills, customer service skills, attention to detail, effective oral and written correspondence, and public relation skills.
  • Proficiency in keyboarding/typing.
  • Ability to work with a diverse student population.
  • Experience and high-level proficiency with college student information systems, specifically Colleague, College Foundation of North Carolina (CFNC), Banner or Datatel and basic level knowledge of data reporting components such as informer.
  • Ability to proficiently use Microsoft Office Suite.
  • Understanding of the mission, goals, and objectives of a community college.

Normal Working Hours:

A minimum of a 40-hour workweek as determined with the supervisor to allow the employee to fulfill the assigned duties and responsibilities, including occasional evening and weekend hours. Summer schedules may vary to enable four-day or four-day and four-and-one-half-day workweeks.
