This position is responsible for planning and executing strategic and capital projects and programs for the Hawaii Regional Sales and Marketing Department. Team Member will focus on implementation and completion of project actions as designed by Project Management and Hawaii Executive Leadership. The Project Specialist plays a key role in leading cross-functional initiatives that support business objectives without direct involvement in day-to-day sales floor operations. Project Team Members goal is to help site performance and business partners achieve and exceed company revenue, operational effectiveness and enhance Team Member and Guest/Owner experience.
The role requires frequent collaboration across all Hawaii Teams, business partners to ensure alignment with stakeholders and regional counterparts. Project Specialist will leverage digital tools, project planning tools, budget and proforma tools to ensure project objective and deliverables are completed within designated timelines, budget cost, and set resource pools.

Schedule Details:
Our Sales Office operates 7 days a week. Your workday will start at 7:30am-7:45am and end when client interaction is complete. Paid training is provided for your first 2 weeks. You will be assigned a 4-day rotating working schedule following completion of training, based on business needs.
Additional Responsibilities Include:
Partner with project managers to define goals, scope, and business objectives
Develop and execute project strategies, including budgeting, KPI tracking, timelines, staffing plans, and risk mitigation
Deliver projects on time and within scope by monitoring milestones and aligning resources effectively
Support presentation development and prepare funding documentation for preliminary review
Analyze trends and behavioral data from SMT reports and other sources to generate insights and drive process improvements
Leverage Microsoft 365 tools (Power BI, Power Automate, Copilot, SharePoint, MS Forms) to automate workflows, improve collaboration, and enhance reporting
Maintain project plans, track progress, and provide regular status updates, escalating risks or issues as needed
Drive digital innovation by developing tools and processes that improve team productivity and performance
Identify risks, evaluate options, and implement solutions to address project challenges
Lead communication efforts to ensure successful implementation and adoption of project deliverables
Oversee budgets, manage CAPEX invoicing, and implement cost controls to maintain financial efficiency
Manage vendor relationships, agreements, and resource planning to support project success and sustainability
Ensure adherence to HGV quality standards across all deliverables
Evaluate project outcomes and develop SOPs to support continuous improvement and knowledge sharing
Support additional business initiatives and responsibilities as needed
Review legal and compliance guidelines and documentation that would impact project results and safeguard HGV Key Stakeholders and clients
Proficient use of presentation tools (i.e. Power Point, Canva, etc) to relay narrative and objective of projects
Perform additional duties as assigned by management to support broader business objectives.

Proven experience in data analysis, business intelligence, or process automation.
Proficiency in building project planners, proformas, and project narratives
Experience in designing and implementing project workflows, SOPs, system development and operation infrastructure
Strong time management and resource development that will ensure outcome and output efficiencies within project requirements
Able to report out daily, weekly, monthly or as needed in real time for project status
Able to maintain historical documentation, notes, feedback as projects are being redesigned and/or move from project to permanent program development
Demonstrated ability to quickly learn and apply new tools and technologies.
Self-motivated and resourceful, with a growth mindset and a passion for innovation.
It would be advantageous to demonstrate the following capabilities and distinctions:
Previous business analytics experience with a sales or marketing department. Familiarity with timeshare industry +3 years preferred
Strong analytical mindset with the ability to interpret complex data and translate findings into strategic recommendations.
