    Aspirus Specialty Clinic in Wausau, WI is seeking a SPECIALTY PHARMACY COORDINATOR to join our Specialty Pharmacy team!

    The Specialty Pharmacy Coordinator supports the Aspirus Specialty Pharmacy by coordinating patient access, therapy initiation, and ongoing care in collaboration with prescribers, pharmacists, nurses, and interdisciplinary care teams. This role ensures timely medication access, financial support, and continuity of care while maintaining compliance with URAC and ACHC Specialty Pharmacy Accreditation standards, payer requirements, and system policies.

    HOURS: Full Time or 1.0 FTE, 80 hours every pay period, 8-hour weekday day shifts

    Duties & Expectations

    • Coordinate specialty medication referrals from health-system clinics, inpatient units, and external providers, ensuring accurate intake and timely progression through the access process.
    • Serve as a central point of contact for patients, caregivers, prescribers, pharmacists, nurses, clinic staff, payers, and specialty pharmacy partners.
    • Conduct benefits investigation, prior authorizations, reauthorizations, and appeals in compliance with payer requirements and health-system policies.
    • Facilitate enrollment in manufacturer copay assistance programs, patient assistance programs, and charitable foundations to minimize patient financial burden.
    • Monitor referral and prescription status from intake through dispense, proactively identifying, communicating, and resolving barriers to therapy initiation.
    • Support transitions of care, including discharge planning and coordination of specialty medications following hospitalization.
    • Provide patient-centered education regarding the specialty pharmacy process, therapy timelines, and financial assistance options.
    • Communicate therapy status, delays, and next steps clearly and compassionately to patients and care teams.
    • Act as a patient advocate to promote timely access, continuity of care, adherence, and positive outcomes.
    • Collaborate closely with specialty pharmacists and interdisciplinary care teams to support clinical appropriateness and coordinated care.
    • Escalate clinical, financial, or adherence concerns to pharmacists or providers in a timely manner.
    • Maintain accurate, complete, and timely documentation in the electronic health record (EHR), pharmacy management systems, and payer portals.
    • Ensure documentation supports medical necessity, payer requirements, and URAC and ACHC Specialty Pharmacy Accreditation standards.
    • Adhere to standardized workflows, policies, and procedures aligned with accreditation and regulatory requirements.
    • Meet established turnaround times and productivity standards for referrals, authorizations, and patient outreach.
    • Track, monitor, and report key performance indicators (KPIs), including time to therapy, authorization approval rates, and referral completion.
    • Participate in quality improvement initiatives, workflow optimization, and performance improvement activities.
    • Support accreditation readiness by maintaining organized documentation and participating in audits, surveys, and corrective action plans as assigned.
    • Maintain current knowledge of specialty disease states, therapies, payer trends, and access requirements relevant to assigned therapeutic areas.
    • Demonstrate strong organizational skills and the ability to manage multiple complex cases in a fast-paced health-system environment.
    • Exhibit excellent verbal and written communication skills with patients, providers, payers, and internal stakeholders.
    • Apply critical thinking and problem-solving skills to resolve access and financial challenges.
    • Demonstrate attention to detail, accuracy, and accountability in all aspects of work.
    • Work effectively and collaboratively within interdisciplinary healthcare teams.
    • Adapt to evolving payer rules, accreditation standards, specialty drug trends, and health-system workflows.

    Education:

    Graduation from an accredited school of pharmacy

    Doctorate in pharmacy preferred

    Licensure:

    Current state license as a pharmacist

    Required Experience:

    Experience in a health-system or integrated specialty pharmacy

    A thorough knowledge of specialty disease states

    Strong communication and interpersonal skills

    Preferred Experience:

    Comfortable with technology and proficiency in Microsoft Word and Excel

    Strong organizational skills

    Understanding of 340B program and how it impacts the Specialty Pharmacy
