Senior Administrative Assistant – Costa Mesa, CA
Pay: $32.69 - $33.65 per hour
Schedule: Monday - Friday | 8:00 AM - 5:00 PM

Are you an experienced administrative professional who thrives in a fast-paced executive environment? We are seeking a highly polished Senior Administrative Assistant with strong executive support experience and a creative eye for graphic design to join a respected organization in Costa Mesa.

This role is ideal for a proactive professional who has successfully supported senior leadership teams, managed high-level administrative responsibilities, and created professional presentations and marketing materials with exceptional attention to detail. The ability to balance executive support, project coordination, and graphic design responsibilities is essential to success in this position.
Key Responsibilities
  • Provide direct administrative support to executive leadership, including the President, Vice Presidents, and Business Development teams.
  • Manage complex executive calendars, coordinate meetings, and prioritize shifting schedules and deadlines.
  • Arrange detailed domestic and international travel itineraries, accommodations, and executive meeting logistics.
  • Create high-quality presentations, proposals, reports, and marketing materials using advanced Microsoft Office and graphic design tools.
  • Support digital and print design projects, including tradeshow materials, promotional items, and branded communications.
  • Coordinate deliverables between internal departments, vendors, and external partners to ensure timely completion of projects.
  • Organize company events and tradeshow participation, including travel coordination, print production, and event logistics.
  • Maintain action trackers, monitor follow-ups, and support special projects across departments.
Qualifications
  • Extensive experience providing executive-level administrative support in a professional corporate environment.
  • Advanced proficiency in Microsoft PowerPoint, Word, and Excel.
  • Exceptional organizational, multitasking, and time management skills.
  • Strong written and verbal communication skills with a high level of professionalism.
  • Ability to manage confidential information and work effectively under tight deadlines.
  • Experience supporting leadership within aerospace, defense, or manufacturing industries.
