About the organization:
Our Client is currently recruiting for a Senior Billing Coordinator to be resident in any US office. Under supervision of the Billing Supervisor, the Senior Billing Coordinator is responsible for all aspects of drafting and finalizing client invoices. Responsibilities include coordination with partners, secretaries and responsible attorneys to manage time entries and edits, adjustments, write-downs, rate management and bill posting. Will submit bills via the e-billing Hub and ensure invoices that require electronic invoicing are submitted timely. The Senior Billing Coordinator is expected to perform all job duties with a commitment to providing optimal service to clients, attorneys and co-workers, while producing a high quality work product. This is a hybrid position with a requirement to work in-office three days per week.

ESSENTIAL DUTIES & RESPONSIBILITIES
  • Monthly generation and distribution of proformas for attorney review
  • Edit cost, time and narratives as required by clients and billing attorneys
  • Preparation of final billing for review by billing attorney prior to sending to client
  • Submission of electronic billing files to various third party vendors using the e-billing Hub
  • Work with billing attorney and their assistants to resolve billing issues
  • Generation of time and billing reports upon attorney request
  • Pro-actively monitor aging of client's unbilled fees and costs and address with assigned billing attorneys
  • Assist Finance department with identification and reconciliation of payments received
  • Ensure that requests for special rates and alternative fee arrangements are communicated to the Pricing Committee for review and ultimate disposition
  • Maintain documentation of procedures, deadlines and other client and lawyer preferences related to billing
  • Support client and partner requests for accrual information that is timely and accurate
  • These duties may be ongoing or adhoc in nature
  • Other duties as may be assigned to fully meet the requirements of the position

MINIMUM QUALIFICATIONS
  • Minimum 5+ years' legal billing experience
  • Expertise working with Elite 3E, Elite Enterprise or Adernat required
  • Expertise working with e-billing hub and navigating e-billing websites, required
  • Strong knowledge of billing practices and client relationship management
  • Proficient in Microsoft Office Suite
  • Excellent verbal and written communication skills
  • Must be detail oriented with excellent organizational skills
  • Must be able to collaborate with team and meet departmental deadlines
  • Ability to manage multiple priorities and deadlines in a fast-paced environment
  • Ability to work independently and meet strict deadlines
  • Flexibility to work overtime as needed

PREFERRED QUALIFICATIONS
  • College degree or equivalent work related experience, preferred

PHYSICAL DEMANDS
  • This position is generally performed in a professional office setting; 70% sitting, 20% standing, and 10% walking
  • This position routinely utilizes standard office equipment such as laptops, computers, phones, photocopiers, and filing cabinets, in a home office as well as an in-person office environment.
  • Ability to lift/move up to 20 pounds.
